    Executive Assistant

    This position is based on-site at our Millburn, New Jersey office. We are not able to offer remote work, and we cannot consider applicants who can only work remotely.

    Applicants must be able to communicate well in both Chinese and English and to carry out daily work in both languages.

    About China Labor Watch

    China Labor Watch (CLW) is a U.S.-based nonprofit organization focused on labor rights in Chinese companies and in global supply chains. Our work includes labor investigations, worker support, research, public advocacy, and engagement with governments, media, and other stakeholders.

    CLW is a small, fast-moving team with projects across multiple countries and regions. The work in this role is varied, and it calls for someone who can work independently, communicate clearly, and follow through.

    About the Role

    The Executive Assistant reports directly to the Executive Director and is responsible for scheduling and travel, tracking projects and tasks, Chinese–English translation, and day-to-day office operations and administration.

    This role suits someone organized, detail-oriented, and reliable, who can keep several things moving at once.

    Because CLW is a small team, this position covers a wide range of work — but the day-to-day volume in any one area is usually manageable. What matters most to us is that you can move between different kinds of tasks as the need arises, judge what comes first, and make sure the important things actually get done.

    What you'll get out of it

    • Work at the center of what we do. You'll help move forward CLW's investigations and advocacy across several countries, working with research reports, media outreach, and policy advocacy — not just administrative tasks.
    • Build international experience quickly. CLW's projects involve working with U.S. and EU government bodies, UN agencies, multinational companies, international organizations, and the press. You'll take part in that work directly and build real experience in cross-border projects and international communication.
    • Learn up close. You'll work directly with the Executive Director and the core team on labor investigations, international projects, media outreach, and operations, and gain a close understanding of how this field actually works.

    Responsibilities

    1. Supporting the Executive Director, including travel
    • Manage the Executive Director's calendar, meetings, and reminders, adjusting as priorities shift
    • Track items that need the Executive Director's attention or decision, and make sure they get a timely response
    • Arrange domestic and international travel for the Executive Director and colleagues — flights, hotels, ground transport, and meeting schedules
    • Travel with the team as needed (this may mean several international trips a year), supporting meetings, interpretation, and on-site coordination
    • Help manage day-to-day communication with partners, funders, media, government agencies, and other external stakeholders
    • Help manage the organization's social media accounts and posts
    1. Bilingual communication and translation
    • Translate between Chinese and English for emails, letters, meeting materials, and other documents
    • Provide Chinese–English interpretation in meetings, calls, and other settings as needed
    • Edit, proofread, and format English-language materials
    1. Project and task coordination
    • Track tasks, owners, deadlines, and progress in Asana or similar tools
    • Follow up on deliverables and key dates across several projects, and remind the people responsible
    • Help check figures and key information in project and financial reports for accuracy and consistency
    • Follow up on meeting decisions and action items to make sure they get done
    • Help build and improve internal workflows so the team communicates and executes better
    1. Meetings and materials
    • Coordinate internal and external meetings, including scheduling, invitations, and materials
    • Help prepare agendas, background materials, briefings, and presentations
    • Attend meetings, take minutes, and track follow-up items
    • Organize and maintain records of key meetings, events, and trips
    1. Office operations and administration
    • Help manage the office budget, expenses, invoices, and staff reimbursements, and handle routine purchasing
    • Build and maintain electronic filing and internal document systems
    • Support recruitment, onboarding, and related administrative work
    • Help coordinate interns and volunteers
    • Take on other responsibilities as assigned by the Executive Director

    Hours and Schedule

    This role follows the organization's regular office hours. Because CLW's projects, colleagues, and partners are spread across different countries and time zones, the position requires regular coordination across time zones, including early morning or evening meetings when needed.

    Occasionally — around international projects, major meetings, travel, or urgent matters — some weekend or holiday support may be needed. Some flexibility with hours is therefore part of the role. All scheduling follows organizational policy and applicable law.

    Qualifications

    Required

    • Bachelor's degree, or equivalent relevant work experience
    • At least 3 years of experience in administration, project coordination, operations, executive support, or a related area
    • Fluency in Chinese and English, with the ability to handle routine translation and interpretation independently
    • Strong English writing, editing, and proofreading skills
    • Strong organizational and time-management skills, with the ability to track multiple tasks and deadlines at once
    • Careful attention to detail, and the ability to catch errors and gaps in documents, data, calendars, and workflows
    • Sound judgment about priorities, and the ability to work with limited supervision
    • Discretion with sensitive information and strict adherence to confidentiality
    • Strong cross-cultural communication skills, and comfort coordinating across time zones
    • Proficiency with Microsoft Office and similar tools
    • Ability to work on-site in Millburn, New Jersey
    • Ability to travel domestically and internationally as the work requires
    • Existing authorization to work in the United States; this position does not offer visa sponsorship

    Preferred

    • Experience with Asana, Claude, or other project management and AI tools
    • Background in international relations, labor, human rights, media, or the nonprofit sector

    Compensation and Benefits

    Salary: $60,000–$80,000 per year

    The offer will reflect the candidate's relevant experience, skills, and fit for the role.

    Benefits include:

    • Medical and dental insurance, with employees responsible for a share of premiums, deductibles, and other costs depending on the plan selected
    • 10 days of paid vacation per year, increasing with length of service
    • 5 days of paid sick leave per year, in accordance with New Jersey law and organizational policy
    • 11 paid holidays per year, as designated by the organization
