    Project: The Home Project

    Location: Remote and On-site (Southern Oregon, with possible travel to other Oregon counties)

    Duration: July 2025 – August 2026 (Part-time, Contract position)

    Compensation: Commensurate with experience (task-based with potential for renewal)

    Reports To: Executive Director, Heartisan Foundation

    Position Overview

    The Heartisan Foundation seeks a dynamic, organized, and community-oriented Assistant Project Manager/Project Coordinator to oversee The Home Project, a multidisciplinary civic engagement and art initiative focused on homelessness, wealth equity, and cultural storytelling. The Assistant Manager will co-manage logistics, communication, and timelines while fostering collaboration across diverse communities, artists, and organizational partners.

    Key Responsibilities

    Project Management & Coordination

      • Oversee day-to-day implementation of The Home Project from planning through exhibition.
      • Liaise with steering committee, advisory board, artists, photographers, and community partners.
      • Manage schedules, logistics, and event timelines, including travel, site selection, and exhibit planning.
      • Coordinate stipends, contracts, and documentation and release forms for all participants and collaborators.
      • Help maintain accurate records of participation, budget tracking, and reporting deadlines.

    Community & Partner Engagement

      • Facilitate communication with Latinx, Indigenous, and underserved communities across Oregon.
      • Ensure cultural sensitivity and accessibility through Spanish-language support and inclusive practices.
      • Serve as a secondary point of contact for participating organizations (e.g., Oregon Writing Project, Life Art).

    Creative & Exhibition Support

      • Assist in gathering and preparation of photographic portraits and interpretive artworks.
      • Coordinate physical and digital exhibitions, including venue booking, installations, and gallery setup.
      • Collaborate with the media and outreach team to document progress and promote visibility alongside ED.

    Reporting & Evaluation

      • Support survey distribution and data collection for participant feedback and impact metrics.
      • Draft narrative updates and contribute to a final report due by October 2026.
      • Work with evaluation partners (e.g., social workers, academic advisors) to assess community impact.

    Project Timeline & Milestones

    May - Sept 2025

    Launch project; finalize artist/participant roster and confirm travel schedule, collect all photos

    Oct 2025

    Complete full gallery of photographic portraits; distribute to interpretive artists – this will include remote communications while ED/photographer is in Japan.

    Nov 2025- Jan 2026

    Monitor artist development of interpretive artworks; conduct mid-project check- ins.

    Feb 2026

    Begin planning for public exhibition (venue booking, promotion, framing).

    April 2026

    Finalize exhibition details and logistics.

    May 2026

    Present public exhibition; manage opening night, sales, and media engagement.

    June – July 2026

    Manage post-show installations in additional venues; coordinate online media releases.

    Aug 2026

    Finalize all deliverables; ensure digital assets and evaluations are complete.

    Oct 2026

    Submit final project report in coordination with Heartisan Foundation’s leadership.

    Qualifications

      • Proven experience coordinating community-based or arts-related projects.
      • Strong organizational, communication, and time-management skills.
      • Experience working with diverse, underrepresented communities.
      • Familiarity with arts education, nonprofit work, and/or cultural advocacy.
      • Ability to work collaboratively and independently, often in remote settings.
      • Spanish fluency and/or lived experience in Latinx or Indigenous communities would be ideal but is not a requirement.
