    Position Summary

    The DPIL Program Manager leads day-to-day operations of the Dolly Parton Imagination Library (DPIL) program at Share Our Spare (SOS), reporting to the Director of Strategic Partnerships. This role is responsible for enrollment growth, Community Ambassador coordination, partner stewardship, and funder-facing reporting with a direct line to SOS's goals of enrolling eligible children and families across Chicago.

    Key Responsibilities

    Enrollment & Program Operations

    • Own all DPIL enrollment and registration processes; maintain accurate, audit-ready records in program tracking systems.
    • Manage implementation of enrollment methods, including digital forms, spreadsheets, and Community Ambassador support.
    • Monitor MOU status tracking—receipt, return, and signatures—and manage partner onboarding and follow-up workflows.
    • Ensure timely, accurate, and organized data entry across all enrollment, event, ambassador, and partner tracking systems; establish and maintain processes that support data integrity, enrollment reconciliation, and funder reporting requirements.
    • Flag operational issues or bottlenecks early and maintain program SOPs and onboarding materials.

    Community Ambassador Program

    • Recruit, train, and manage Community Ambassadors, including territory assignments and performance tracking.
    • Coordinate DPIL volunteers and support Ambassador-led outreach across priority neighborhoods and wards.

    Community Outreach & Events

    • Lead enrollment push for the Bud Billiken Parade (target: 400–500 new enrollees) and other community events.
    • Manage hospital and clinic enrollment channel activation in Q3.
    • Participate in elected official engagement
    • Coordinate ward-specific Storytime events, and DPIL community outreach.

    Partner & Stakeholder Coordination

    • Serve as primary day-to-day contact for DWF statewide Local Program Partner touchpoints, DPIL partner agencies, enrolled families, and consultants during transition.
    • Coordinate partner onboarding, MOU execution, and ongoing enrollment workflows.
    • Collaborate with the Programs Coordinator and Auxiliary Program Coordinator on shared operational tasks.

    Reporting, Compliance & Development Support

    • Track program KPIs—enrollment figures, saturation trends, and distribution volume, —and prepare monthly reports for the Director of Strategic Partnerships.
    • Prepare DPIL strategic plan and funder reporting materials in collaboration with the Director of Strategic Partnerships.
    • Coordinate with the Development team on DPIL grant reporting and impact storytelling for funders.
    • Implement a newsletter for enrolled families and establish a process for gathering participant testimonials.

    First 90 Days — Success Metrics

    • Partner onboarding, follow-up workflows & marketing material dissemination.
    • Supplemental attendance at community events to support enrollment activities
    • Enrolled family newsletter launched and testimonial-gathering process established.
    • KPI reporting template submitted to the Director of Strategic Partnerships.
    • Transition overlap plan developed with current consultants.

    Qualifications

    • Bachelor's degree in social work, education, nonprofit management, or a related field; equivalent experience considered.
    • 2+ years of program coordination or nonprofit program management experience.
    • Strong organizational skills and ability to manage multiple priorities and deadlines simultaneously.
    • Experience with community outreach, ambassador-style programs, or enrollment-based initiatives strongly preferred.
    • Excellent written and verbal communication skills; comfortable engaging community partners, elected officials, and funders.
    • Availability for select evenings and weekends as needed.
    • Spanish language proficiency strongly preferred; bilingual candidates highly encouraged to apply.
