    WaterAid America is looking for a fundraising operations professional to help manage fundraising data, platforms and systems that, together, ensure the integrity of WaterAid’s donor data in the CRM and smooth day-to-day administration of WaterAid’s development operations.

    To support an ambitious and fast-moving Development & Communications team, the successful candidate is someone who brings accuracy and precision to managing data and fundraising results, and who can pair a supportive approach with close attention to detail and follow-through. As part of a hybrid fundraising team, the Coordinator must also be an effective communicator, with strong interpersonal skills to be able to effectively prioritize conflicting needs and deadlines and build trust and strong working relationships across our organization.

    The role

    Reporting to the Chief of Staff and working closely with the Data & Insight Officer, the DevOps Coordinator is responsible for completing essential processes and tasks that ensure the integrity of WaterAid’s donor data in the CRM and smooth day-to-day work of development operations. Specific responsibilities include but are not limited to:

    • Complete routine data entry processes with consistency and accuracy, including, but not limited to: input/ import gift transactions from various giving platforms, complete matching gift requests, identify and merge duplicate records, update constituent contact details, etc.
    • Support the Data & Insights Officer with DevComms team’s request for reports and data: including weekly “progress to goal” and other reports, develop and update Salesforce dashboards, respond to questions; troubleshoot and report technical issues directly to Salesforce.
    • Support DevComms team to utilize Salesforce well, responding to queries and support colleagues to adopt new tools and platforms, support communication across the team.
    • Develop and maintain DevOps procedures (gift processing, Salesforce guidance, etc.), identify opportunities to streamline and automate processes and procedures that will improve efficiency.
    • Manage online giving platforms, ensure WaterAid verbiage is up to date and accurate, ensure platforms are enrolled in ACH deposits, obtain PCI compliance certificates, respond to platforms’ compliance requests, as needed.
    • Manage the annual State charity registration process: review documentation prepared by external legal support, finalize information, secure appropriate sign-off and signatures from CEO/ CFO, and ensure WaterAid’s registration is completed on time.
    • Complete special projects, as assigned.

    Skills and experience

    Essential skills and experience:

    • Undergraduate degree or minimum of 3+ years’ relevant work experience, such as nonprofit administration, data entry/ management, customer service, etc.
    • Proficiency in Salesforce CRM and MS Office, particularly in Word and Excel (comfortable performing functions including mail merge, basic xls formula and formatting) with an appetite to learn new tools, and a commitment to personal and professional growth.
    • Basic project management skills; proactive, process-focused, with strong attention to detail. Able to prioritize, manage and execute numerous projects simultaneously; a proven track record of delivering tasks and meeting deadlines; comfortable escalating concerns and conflicts as appropriate.
    • Positive and flexible approach to collaborating across teams and functions; professional manner and excellent written and verbal communication skills, with the ability to work positively in a team environment, towards shared goals.
    • Commitment to WaterAid’s values of respect, accountability, collaboration, courage, innovation and integrity, and a working style that reflects these.
    • Comfortable with a hybrid working environment (onsite and remotely, as needed); flexibility to work across time zones (with varied work hours) and maturity to achieve and maintain work/ life balance.

    Desired skills and experience

    • Previous experience in a support capacity within a nonprofit fundraising or development team.
    • Advanced technical skills and/or languages (R, Python, SQL, etc.).

    WaterAid America's US workforce is currently 65% remote and 35% hybrid, with a physical office in New York, NY. Candidates for this role may be based anywhere in the US, but the organization's priority is to recruit a candidate based in New York, NY who can work from the office 1-3x per week.

    WaterAid offers a generous vacation and benefits package to its full-time employees:

    • Health (medical) insurance: WAA offers several options, ranging from 70-100% employer-paid for you and your dependents), dental & vision insurance (100% employer-paid for you and your dependents), and pre-tax Flexible Spending Accounts (FSA) for childcare, medical and commuter expenses.
    • Retirement: participation in WaterAid’s 403(b) deferred contribution plan (after 1 year of service, personal contributions are matched, up to 5% of gross annual salary).
    • Paid time off (PTO) includes: 12-13 public holidays (depending upon the calendar year) + a ‘floating’ holiday to be used at your discretion; 120+ hours of PTO upon hire (with new and increased hours awarded annually), 3 paid days for volunteering, and additional PTO available for "Summer Fridays" and office closures, such as between the Christmas and New Year's holidays.

    For US-based candidates outside of major metropolitan areas, such as New York, NY or Washington, DC, the minimum salary for this position is $60,000 USD. For US-based candidates inside major metropolitan areas, such as New York, NY or Washington, DC, the minimum salary for this position is $64,000 USD. Actual compensation is based on multiple factors that are unique to each candidate, including and not limited to level of relevant experience, skill set, and specific work location. Salary ranges for positions based in other locations may differ based on the cost of labor in that location.
