    Reporting to the Executive Director (ED), the Office Administrator plays a vital role on the RVFB team in bridging the gap between management and staff, facilitating Agency wide communication and coordination. It’s responsible for contract administration and reporting with some IT support. The Office Administrator, like all other employees, also helps to ensure the organization values of Community, Social Justice, Respect, and Excellence are exceptionally upheld throughout RVFB operations and community engagement. This position will handle a wide range of administrative tasks that support the overall day-today flow of the Agency.

    Priority is given to candidates with any combination of: Experience with Salesforce, data knowledge, volunteer program management, and/or human resources.

    Roles and Responsibilities:

    • Managing office supplies, ensuring that necessary materials are available for staff usage.
    • Provide support to management and staff by organizing meetings, coordinating social events, and managing Agency schedules.
    • Maintain and organize office records, databases, and filing systems to ensure easy access to information.
    • Manage administrative vendors
    • Archive and inventory control
    • Interacting with IT and building personnel as needed.
    • Ensure accurate & timely reporting & contract compliance
    • Manage facility contract needs
    • Provide support to HR Generalist by conducting system trainings and other minimal HR tasks
    • Supervise the maintenance of office areas, equipment, and facilities

    Manage facility contract needs:

    • waste disposal
    • utilities
    • supply & equipment needs
    • facility security
    • facility janitorial services

    Program Success and Evaluation

    • Manage monthly reports process, by reviewing and aggregating data, and execute reports.
    • Track operational budget needs to support the ED in developing the annual budget

    We desire to fill this position with someone who has the following qualifications:

    • Passion for food & social justice
    • Experience working with communities of color & an understanding of systemic oppressions
    • High emotional intelligence: ability to maintain positive attitude in an environment that challenges your own norms
    • Demonstrates experience professionally communicating with & developing trusting relationships with diverse individuals, including those with a wide range of cultural & socio-economic backgrounds, as well as individuals with mental health or substance issues
    • Exceptional and demonstrates conflict resolution skills
    • Proven ability to self-organize & manage competing demands & projects
    • Demonstrated data collection systems experience
    • Highly proficient with Microsoft Word, Excel, & PowerPoint, and Outlook
    • Prior experience with Salesforce highly preferred
    • Willing to occasionally work irregular hours, including some evenings & weekends
