Co-manages: Contracted Event Staff
Status: Full-time (35 hrs/week), exempt
Starting salary: $55,000–$62,000
Schedule: Sunday–Thursday (flexible hours/hybrid location); regular evening/weekend event coverage (~4–6/month)
Position Summary
The Events Manager runs the administrative engine behind 280+ BKCM events a year — recitals, parties, panels, performances, and partnership events. This role leads event staffing, reporting, F&B logistics, and short- and season-level planning, with an in-person presence expected at events, including cultural events, fundraisers, and cultivation events. Works closely with Marketing and BKCM's Program Directors (CMS, Suzuki, Music Therapy, Music Partners).
Key Responsibilities
Event Administration & Reporting
- Produce run-of-show sheets and weekly reporting (P&Ls, attendance) for all events
- Process performer and event staff payments (payroll and check request); track petty cash and box office
- Manage space holds, contracts, and rentals in Salesforce
- Secure event permits (street, sound, HRA, SLA alcohol)
- Support Development with grant reporting tied to events
Catering, Bar & Vendor Management
- Arrange catering and bar service at every scale, including hiring bar staff
- Manage vendor relationships and pursue in-kind/sponsorship partnerships
- Source outside venues and hospitality for internal gatherings (retreat, holiday party)
Annual & Community Events
- Help curate signature annual events (Lunar New Year, Holiday Extravaganza, Holi, Classical Kids Fair, Pride, World Refugee Day, etc.), including kid-friendly programming, faculty and student performances and professional acts.
- Coordinate logistics/transport for Chorale & Orchestra offsite events and fundraiser support
- Manage signage and marketing-material logistics for partnership events
Outreach & Partnerships
- Field outside requests to hire BKCM faculty for events; track potential performers/programming
- Contract and invoice faculty for partnership events
- Plan and execute recurring partnership and community events
Staffing & On-Site Coordination
- Coordinate with Department Heads on event staffing needs; manage Event Staff scheduling
- Serve as on-call point of contact for Event Staff across recitals, rentals, and rehearsals
- Process Event Staff payments
- Coordinate with front-of-house, marketing, and program staff for smooth event execution
- Support hospitality/green room setup and set up/break down audience-facing spaces
- Represent BKCM warmly to students, faculty, families, and partners
Qualifications
- 3+ years in event administration, operations, or production coordination
- Experience managing part-time/contracted staff and schedules
- Comfortable with budgeting, invoicing, and reporting
- Comfortable working with children and families; early childhood experience a plus
- Working knowledge of AV, sound, and backline equipment
- Strong written and interpersonal communication skills
- Experience with Salesforce or similar CRM a plus (or ability to learn)
- Able to work independently and collaboratively across teams
- Occasional lifting up to 50 lbs
- Driver's license a plus
