    Accelerated Cure Project

    Location

    Remote, based in the United States, with the ability to work from home. Preference will be given to candidates within driving distance of Portland, Maine, in order to support regular in-person meetings with the CEO every 2-4 weeks.

    Schedule and Status

    Part-time, hourly, non-exempt employee. Expected schedule is 20 hours per week, with some flexibility in days and hours.

    Compensation and Benefits

    • $25-$35 per hour, commensurate with experience.
    • Eligible to participate in ACP's 401(k) plan, subject to plan terms.
    • Not eligible for health insurance or short-term/long-term disability benefits as a part-time employee.

    About Accelerated Cure Project

    Accelerated Cure Project (ACP) is a nonprofit organization with a mission of accelerating research for faster diagnosis, more effective treatments, and a cure for multiple sclerosis (MS).

    In collaboration with people affected by MS, researchers, healthcare providers, funders, and others, ACP develops centralized resources that can be accessed by researchers worldwide.

    ACP's resources include the ACP biospecimen and data Repository, iConquerMS, a virtual people-powered research network that enables and conducts research on topics that matter most to the MS community, and inclusive engagement initiatives including the MS Minority Research Engagement Partnership Network and the RIDE (Research Inclusion Diversity and Equity) Council.

    Position Summary

    The Operations and Finance Coordinator will provide administrative, finance, and operations support to help ACP's internal processes run smoothly and efficiently. This role is designed to take recurring operational responsibilities off the CEO's plate, with a strong focus on accurate data preparation, coordination, and follow-through related to payroll, multi-state employee compliance, invoicing, and budget tracking.

    The ideal candidate is highly detail-oriented, comfortable working with financial information, and able to manage recurring tasks with a high degree of accuracy and minimal oversight. This person should bring sound judgment, strong organizational skills, and a practical mindset toward improving processes over time.

    The Coordinator will report to the CEO and work closely with staff and external vendors, including payroll, benefits, and accounting partners, as needed.

    Key Responsibilities

    Finance and Payroll Coordination

    • Coordinate payroll processing with ACP's payroll provider, ensuring time and pay data are accurate, changes are tracked, and materials are ready for CEO review and approval.
    • Maintain current payroll and employee records, including compensation updates, tax withholding changes, and deductions, in coordination with relevant vendors.
    • Prepare payroll and expense summaries that are complete, accurate, and ready for review.
    • Coordinate routine accounts payable and receivable tasks, including collecting invoices, tracking payment status, and preparing draft invoices using established templates.
    • Support the accurate coding, tracking, and organization of financial information in spreadsheets and related systems.

    Compliance and HR Operations

    • Track state employment compliance requirements in ACP's registered states, maintaining clear checklists, calendars, and supporting documentation.
    • Maintain complete and well-organized digital personnel files and related compliance records.
    • Coordinate onboarding and offboarding administration, including forms, checklists, required documentation, and follow-up on training or related tasks.
    • Monitor recurring deadlines and flag upcoming requirements, missing information, or potential issues for CEO review.

    Budget and Operations Support

    • Maintain selected budget tracking spreadsheets by entering expenses, updating actuals, and keeping information current.
    • Prepare draft budget-versus-actual summaries and supporting materials for CEO review.
    • Organize financial and operational documentation needed for grants, contracts, audits, and other reporting processes.
    • Help improve administrative and operational workflows by refining tools, templates, checklists, and procedures.

    Administrative Support

    • Provide administrative support to the CEO, including scheduling, document organization, and preparation of meeting materials as needed.
    • Manage recurring operational tasks on a dependable cadence, with the goal of reducing rework and oversight.
    • Document and maintain clear step-by-step procedures for key internal workflows.
    • Participate in periodic in-person meetings with the CEO in the Portland, Maine area.

    Qualifications

    • Associate's or bachelor's degree in business, accounting, finance, public administration, or a related field, or equivalent relevant experience.
    • At least 3 years of experience in administrative, operations, accounting, finance support, or similar roles, preferably in a nonprofit or small-organization environment.
    • Demonstrated ability to manage recurring administrative or financial processes accurately and with minimal oversight.
    • Strong proficiency with spreadsheets and comfort working with financial data, including tracking, reconciliation support, and preparation of summary information.
    • High level of expertise with Microsoft Excel required; experience with QuickBooks highly desired.
    • Experience using project management software (e.g., Asana, Monday.com) to track tasks and deadlines.
    • Experience improving workflows, templates, checklists, or internal systems is strongly preferred.
    • Excellent organizational skills, attention to detail, and follow-through.
    • Strong written and verbal communication skills and a collaborative, professional work style.
    • Ability to maintain confidentiality of sensitive financial and personnel information.
    • Residence within reasonable driving distance of Portland, Maine, and ability to meet in person with the CEO approximately every 2-4 weeks.
