    Position Summary

    Harlem Grown seeks an organized and strategic Development Coordinator/ Manager to support fundraising efforts across the full donor lifecycle — from donor relations, donor engagement, and corporate benefits delivery, to gift processing and acknowledgement, donor data management, and donor qualification. The Coordinator/ Manager provides the donors in Harlem Grown's community with an exceptional experience that inspires continued and growing support of our mission, while also ensuring accurate, timely, and well-documented operational processes in close collaboration with finance and operations staff. Collaborative and strategic, the Coordinator/ Manager makes the highest and best use of organizational resources, continually building efficiency in processes, and is responsive to the needs of leadership and frontline fundraisers.

    Key Responsibilities:

    Donor Relations & Engagement

    1. Answer incoming donor inquiries, via phone and email, providing exceptional 'customer service'.
    2. Develop, document, and continually enhance systems and procedures related to donor relations and engagement.
    3. Maintain the department's donor engagement plan and calendar through collaboration with colleagues across the department.
    4. Project-manage implementation of the donor engagement plan, making highest and best use of the team's time and resources.
    5. Coordinate experiences in the donor engagement plan, such as: site visits, cultivation events, impact reports, and special mailings.
    6. Maintain and manage the organization’s grant calendar.
    7. Other duties as assigned.

    Marketing Assistance

    1. Maintain the social media and marketing calendar.
    2. Implement the social media strategy overseeing storytelling.
    3. Design marketing collateral for donor engagement opportunities.
    4. Other duties as assigned.

    Corporate Benefits Delivery

    1. Maintain up-to-date corporate benefits and sponsorship packages.
    2. Project-manage fulfillment of corporate benefits and sponsorship packages and maintain the corporate benefits delivery calendar, making highest and best use of the team's time and resources.
    3. Coordinate experiences for corporate partners, such as site visits, cultivation events, volunteer days, and lunch & learns.
    4. Develop, document, and continually enhance systems and procedures related to corporate benefits delivery.
    5. Other duties as assigned.

    Gift Processing & Acknowledgement

    1. Process all donations accurately, efficiently, and in a timely manner.
    2. Provide all donors with timely, accurate gift/tax acknowledgements and update communications on a regular cadence.
    3. Coordinate special acknowledgement of gifts by leadership, frontline fundraisers, and/or volunteers.
    4. In collaboration with finance, develop, document, and continually enhance systems and procedures for gift processing and acknowledgement.
    5. Coordinate with key members of the Development and Finance Team to handle complex gifts (e.g., pledges and restricted gifts) and manage budgets for grants.
    6. Other duties as assigned.

    CRM Management

    1. Serve as primary administrator for the Fundraising app in Salesforce, Harlem Grown's CRM.
    2. Develop, document, and continually enhance systems and procedures for Salesforce.
    3. Oversee data clean-up processes and projects that enhance data integrity.
    4. In collaboration with leadership and frontline fundraisers, continually evolve the CRM 'playbook' to ensure that all team members can manage portfolios effectively in Salesforce.
    5. Train fundraisers on how to use Salesforce for portfolio management, in accordance with the 'playbook'.
    6. Develop and continually refine reports at the direction of leadership.
    7. Maintain expertise in all software platforms used by the department, contributing to continual optimization and integration.
    8. Other duties as assigned.

    Lead Generation

    1. Develop, document, and continually enhance systems and procedures for lead generation, including: regular data screenings and analyses, donor segmentation, and donor qualification/research.
    2. Conduct routine data screening, analysis, and segmentation in Salesforce.
    3. Surface high-potential donors/prospective donors for frontline fundraisers to engage.
    4. Conduct/facilitate prospect research.
    5. Other duties as assigned.

    Qualifications:

    • At least two to four years of nonprofit development and writing experience preferred, ideally with experience in one or more of: securing funding from foundations, corporations, individuals, and/or government entities; gift processing; database management; or lead generation. (Depending on level)
    • Experience with Salesforce required
    • Experience with social media such as Instagram and Facebook strongly preferred.
    • Experience with Canva and marketing design strongly preferred.
    • Experience collaborating with frontline fundraisers preferred.
    • Excellent organizational, communication, and project management skills.
    • Exceptional attention to detail and ability to maintain accuracy while working quickly.
    • Ability to distill processes into step-by-step procedures and continually refine them to build efficiency, efficacy, and ease.
    • Impeccable writing and editing skills; ability to develop clear, concise, and compelling narratives.
    • Personable, friendly, positive team player able to build relationships with key supporters.
    • Motivated, creative, and punctual, able to work both independently and as part of a team.
