JOB SUMMARY
The Advisory Organization Development Intern supports the planning, coordination, and tracking of Advisory Organization projects, with primary emphasis on the AO Manual Review and Refresh.
This role manages project timelines, tracks assignments and deadlines in Asana (project management software), and communicates with team members to keep projects on schedule. The intern ensures team members have the materials needed for review and editing and compiles contributions from multiple stakeholders into finalized documents and project materials.
Key Responsibilities
- Advisory Organization Manual Revision
- Using existing project plan, coordinate work of AO team members to ensure the AO Manual Review and Refresh meets deadlines.
- Maintain the project timeline and task tracker in Asana
- Prepare materials for review meetings or check-ins
- Track reviewer assignments, due dates, and completion status
- Follow up with reviewers on outstanding items
- Compile comments, edits, and recommendations for staff review
- Review manual sections and related materials for formatting consistency, completeness, and alignment with established project guidance.
- Incorporate approved edits and administrative updates into working documents while maintaining version control and organized project files
- Prepare periodic status updates for the OPMD/AO team
- Locate, organize, and catalog reference materials, including the current Manual of Advisory Organizations, AO Hub resources, and Standards of Excellence criteria.
- Review AO HUB resources against topics and resource needs identified through the AO Manual refresh, noting gaps, outdated materials, duplications, and potential resources for further staff review.
- Provide administrative and project support for AO-related initiatives as assigned
Better Together Conference Resources:
- Assist with planning and preparing materials for AO-related sessions for the Better Together 2027 conference.
- Track AO-related conference planning tasks, deadlines, and resource needs.
MINIMUM QUALIFICATIONS REQUIRED:
EDUCATION AND EXPERIENCE:
- Undergraduate student pursuing a degree in project management, business, or other relevant degree.
- Previous experience working in a professional office setting preferred.
KNOWLEDGE, SKILLS AND ABILITIES:
- Ability to apply project and workflow management skills to plan, organize, and prioritize work while meeting quality standards and deadlines.
- Familiarity with project management tools such as Asana, Microsoft Planner, or similar platforms preferred.
- Excellent attention to detail, including the ability to review written materials for consistency, formatting and completeness.
- Strong written and communication skills, including the ability to follow up professionally and tactfully with colleagues.
- Ability to gather, compile, and format information into professional documents and project materials.
- Ability to organize digital files, maintain accurate records and retrieve information in a timely manner.
- Ability to work independently and as part of a team.
- Understanding volunteer leadership and management is helpful.
- Interest in nonprofit administration, volunteer engagement, board development, or organizational resources.
- Ability to build and maintain effective and professional relationships with officers and employees at National Headquarters and throughout the territories.
