About Mentor A Promise
Mentor A Promise (MAP) is a New York City–based nonprofit serving children and youth ages 5–18 experiencing housing instability through mentorship, literacy, social-emotional learning, creative expression, and community-based programs. MAP relies on a large, dedicated volunteer community—and strong systems are essential to protecting children, supporting volunteers, and maintaining organizational trust.

Role Overview
The Volunteer Systems & Offboarding Coordinator supports MAP’s Operations and HR functions by managing the systems, processes, and protocols that govern volunteer transitions—particularly offboarding, access management, and documentation.
This role ensures that when volunteers complete or exit their roles, MAP maintains clean records, protects data, retrieves access, and preserves positive relationships—while upholding safeguarding, privacy, and compliance standards.
Key Responsibilities
Volunteer Systems Management
- Maintain accurate volunteer records across systems (agreements, access, roles, status)
- Track volunteer start and end dates, role changes, and access levels
- Coordinate with HR, IT, and Program teams on volunteer systems updates
Offboarding & Transitions
- Manage volunteer offboarding processes, including:
- Confirmation of end dates
- Access removal (email, drives, tools)
- Documentation and record closure
- Ensure offboarding aligns with safeguarding, privacy, and data-protection requirements
- Support respectful, professional volunteer exit experiences
Compliance & Risk Support
- Ensure volunteer agreements, confidentiality, and IP documents are properly closed
- Support audits, reviews, or leadership requests related to volunteer records
- Flag gaps or risks in volunteer systems or processes
Process Improvement
- Help document and improve volunteer lifecycle workflows
- Support creation of templates, checklists, and tracking tools
- Recommend system or process improvements to Operations leadership
Qualifications
- Strong organizational and systems-thinking skills
- Comfort working with records, documentation, and process workflows
- Attention to detail and discretion with sensitive information
- Ability to coordinate across teams (HR, IT, Programs)
- Clear written communication skills
- Alignment with MAP’s mission, safeguarding, and dignity-centered values
Preferred Skills
- Experience in volunteer coordination, HR operations, or nonprofit administration
- Familiarity with Google Workspace, shared drives, or volunteer management tools
- Experience with access control or systems coordination
- Background in compliance, risk, or operations support
Commitment
- Volunteer role
- Approximately 5–10 hours per week
- Minimum 6-month commitment preferred
- Fully remote with NYC-based coordination as needed
