Database Coordinator

The Database Coordinator is responsible for maintaining the integrity, accuracy, and effectiveness of Last Hope K9's data systems, with primary oversight of the organization's Petstablished platform. This role serves as the primary administrator and point of contact for Petstablished, ensuring data is accurate, organized, and aligned with operational needs across the rescue.

The Database Coordinator works closely with a team of leads responsible for linking dogs to their foster profiles within Petstablished and monitoring data quality throughout the dog's journey in rescue. This position serves as the liaison between Last Hope K9 and the Petstablished support team, managing vendor tickets, troubleshooting issues, coordinating system enhancements, and advocating for improvements that support the organization's operations.

In addition, the Database Coordinator develops reports, dashboards, and data insights using tools such as Tableau, Power BI, Excel, and other Microsoft 365 applications to support leadership decision-making and improve organizational effectiveness.

Tasks

• Serve as the primary administrator and subject matter expert for the Petstablished platform.
• Oversee the accuracy and integrity of dog, foster, adopter, and volunteer data within Petstablished.
• Manage and support a team of leads responsible for linking dogs to their foster profiles and maintaining related data records.
• Build and maintain reports, dashboards, and data visualizations to support operational and strategic decision-making.
• Develop insights using Tableau, Power BI, Excel, and other Microsoft 365 reporting tools.
• Identify and implement opportunities for automation and process improvements using tools such as Power Automate and Microsoft Lists.
• Serve as the primary contact for database-related questions, escalations, and troubleshooting.
• Submit, monitor, and resolve support tickets with Petstablished and coordinate testing for platform updates and enhancements.
• Create and maintain documentation, training materials, and best practices related to data management and reporting.
• Collaborate with rescue leadership and operational teams to address reporting needs and improve data-driven decision-making.

Requirements

• Commitment of approximately 5-7 hours per week.
• Experience administering or supporting databases, CRM systems, or platform-based applications.
• Strong analytical and reporting skills with the ability to translate data into actionable insights.

• Experience overseeing volunteers, leads, or cross-functional workflows preferred.
• Excellent communication, organization, and problem-solving skills.
