    Treasurer – Board of Directors

    Role Overview

    The Treasurer is a voting member of the Board of Directors, responsible for the fiscal oversight and stewardship of the ministry’s financial resources. This role ensures sound financial management, compliance, and transparency, working collaboratively with the Financial Team, Bookkeeper, Executive Director, and volunteers.

    Key Responsibilities:

    Financial Oversight

    • Lead the Financial Team and oversee all financial activities.
    • Select banking partners and recommend accounting systems.
    • Ensure proper reconciliation of bank statements and management of cash flow.
    • Maintain awareness of access to organizational funds and outstanding liabilities.
    • Develop and maintain systems for ongoing solvency and compliance with financial policies.
    • Review and update internal controls to prevent fraud and errors.

    Reporting

    • Prepare and present monthly financial reports to the Board, detailing income, expenditures, assets, and liabilities.
    • Present annual financial review reports for Board approval.
    • Prepare special financial reports for large expenditures or strategic decisions.
    • Ensure all reports are stored in the Board of Directors’ secure file system.

    Donor Management

    • Ensure stewardship of charitable donations and compliance with charitable solicitation regulations.
    • Oversee the recording of donations and issuance of tax-exempt status letters.
    • Ensure compliance with relevant state agency requirements for charitable donations.
    • Prepare annual donor stewardship reports for the Board.

    Budgeting

    • Lead annual budget preparation and monitor actual revenues and expenses against the budget.
    • Prepare special-event budgets as needed.
    • Facilitate Board review and approval of all budgets.

    Compliance & Risk Management

    • Maintain a calendar of federal and state filing requirements.
    • Oversee preparation and submission of IRS Form 990, Form 1099, and other required filings.
    • Ensure compliance with federal and state payroll regulations, including Form W-2 and Form 941.
    • Safeguard financial data and ensure access controls are in place.
    • Reference and uphold the organization’s conflict of interest policy.

    Payroll & Employee Documentation

    • Oversee payroll systems and transactions performed by the Bookkeeper.
    • Ensure all employee documents are compliant with federal and state regulations.
    • Collaborate with contractual staff to ensure timely submission of all required documents.

    Succession Planning

    • Help identify, evaluate, and onboard the next Treasurer.
    • Participate in the onboarding and training process for new Financial Team members.

    Collaboration & Communication

    • Foster effective communication and collaboration among the Financial Team, Bookkeeper, Executive Director, and volunteers.
    • Clarify reporting relationships and decision-making authority within the financial function.

    Professional Development

    • Pursue ongoing training in nonprofit financial management and best practices.
    • Encourage professional development for Financial Team members.

    Performance Indicators

    • Timely submission of all required reports and filings.
    • Positive audit outcomes and compliance reviews.
    • Effective donor stewardship and transparent financial reporting.
    • Achievement of annual financial goals set in collaboration with the Board.

    Requirements

    • Demonstrated financial knowledge and experience in nonprofit accounting.
    • Commitment to devote the necessary time to fulfill Treasurer responsibilities.
    • Strong understanding of internal controls, compliance, and risk management.
    • Ability to work collaboratively and communicate effectively with diverse stakeholders.
    • Commitment to the mission and values of Motherless Daughters Ministries.

    Delegation & Oversight

    Tasks may be delegated to the Bookkeeper, Executive Director, volunteers, or outsourced providers, but the Treasurer retains ultimate oversight and responsibility for financial integrity.
