    About the Role

    Travel Unity is seeking a Volunteer Project Coordinator to help our Working Group Co-Chairs keep projects organized, on track, and moving forward. Volunteer opportunities are currently available with the Marketing and Volunteer Engagement Working Groups.

    This is a great opportunity for someone who enjoys organizing collaborative projects, supporting accountability, and making sure important details do not fall through the cracks.

    The Project Coordinator will work closely with Working Group Co-Chairs and volunteer team members to coordinate meetings, maintain project plans, track action items and deadlines, and proactively identify risks or issues that could affect progress.

    This is a coordination role, not a people-management role. The Project Coordinator helps keep work organized and moving forward, while Working Group Co-Chairs remain responsible for leading the group and its volunteers. The Project Coordinator reports to the Working Group Co-Chair(s).

    Key Responsibilities

    Meeting & Volunteer Coordination

      • Work with Working Group Co-Chairs to schedule and coordinate meetings with volunteers.
      • Help ensure meetings have clear objectives, agendas, and desired outcomes.
      • Attend key working group meetings as needed.
      • Capture and distribute meeting notes, decisions, and action items.
      • Maintain a clear record of commitments and follow-up items.

    Project Planning & Tracking

      • Work with the Working Group Co-Chairs to establish and maintain a simple project plan.
      • Break projects into tasks, assign responsibilities, and establish realistic deadlines.
      • Track progress against agreed-upon timelines and milestones.
      • Follow up with volunteers regarding outstanding tasks and upcoming deadlines.
      • Keep project documentation organized and accessible to the working group.

    Risk & Issue Management

      • Proactively identify potential risks, delays, gaps, or issues that could affect project progress.
      • Bring concerns to the attention of the Working Group Co-Chairs in a timely manner.
      • Help the team develop solutions or adjustments when projects get off track.
    • Escalate significant issues when additional leadership or support is needed.

    Communication & Collaboration

      • Serve as a coordination point between Working Group Co-Chairs and volunteers.
      • Help maintain clear, timely, and respectful communication across the team.
      • Encourage accountability while recognizing that team members are contributing their time as volunteers.
    • Help create positive, organized, and productive volunteer experience.

    Qualifications

    Required

      • Strong organizational and time-management skills.
      • Excellent communication and follow-up skills.
    • Ability to work effectively with volunteers from different backgrounds and with varying levels of availability.
      • Comfort tracking multiple tasks, deadlines, and priorities.
      • Proactive approach to identifying issues and keeping projects moving.
      • Ability to work independently in a remote, volunteer-driven environment.

    Preferred

      • Experience in project coordination, project management, operations, event planning, or a similar role.
      • Familiarity with project management tools or methodologies.
      • Experience working with nonprofit organizations or volunteer teams.
      • Experience coordinating cross-functional or distributed teams.

    What Success Looks Like

    In this role, success means helping the Working Group Co-Chairs and volunteers stay focused and organized. Specifically, you will help ensure that:

      • Meetings are scheduled efficiently and volunteers understand what is expected of them.
      • Meeting notes and action items are distributed promptly.
      • Projects have clear tasks, owners, and deadlines.
    • Outstanding tasks receive regular follow-up.
      • Potential risks and delays are identified early rather than becoming surprises.
      • Working Group Co-Chairs have a clear view of project status and outstanding issues.
      • Volunteers have the structure and support they need to contribute effectively.

    Time Commitment

    Approximately 10 hours per month, with some flexibility depending on the needs and activity level of the working group.

    Because this is a volunteer role, we are looking for someone who can make a consistent commitment while being respectful of the time constraints of other volunteers.
