The Volunteer Manager oversees cat care coverage and ensures quality care by coordinating volunteers. Responsibilities include recruiting and assessing applicants, conducting interviews and reference checks, facilitating training, assigning shifts, and integrating volunteers into the team.
Major duties/responsibilities:
- Recruitment: Proactively recruit and attract potential volunteers by utilizing various channels including VolunteerMatch. Conduct interviews and reference checks to assess the suitability of applicants.
- Review all volunteer applications, conduct brief phone contact and if qualified schedule in person interview.
- Training and Onboarding: Facilitate training for volunteers, equipping them with the necessary knowledge and skills to fulfill their roles. Ensure smooth integration of new volunteers into the team.
- Provide Orientation: PZ history, Mission, tour of facility, Q & A, and education about collaborative approach to meet cat care needs, both physical and emotional.
- Assign shifts for new volunteers.
- Provide ongoing assessment of new and seasoned volunteers to ensure they continue to be a good fit, are content with activities and connected to mission and peers.
- Shift Management: Coordinate and assign volunteer shifts to ensure proper coverage for cat care activities, such as feeding, cleaning, socialization, and enrichment. Maintain a well-structured schedule that meets the needs of the organization and provides a positive volunteer experience.
- Facilitate shift changes for all volunteers as needed.
- Maintain Volunteer Daily Shift Schedule.
- Maintain Shift Coverage spreadsheet while working to ensure adequate cat care coverage for volunteer sick time, and vacations.
- Confirm VCA Coast holiday closures and PZ shift coverage utilizing holiday hours of 8am to 11am and 3pm to 5pm.
- Documentation and Reporting: Maintain accurate records of volunteer information, including contact details, availability, and assigned responsibilities.
- Maintain volunteer application files, with appropriate Cat Care Procedure and Liability Waiver Forms, signed and dated.
- Provide updated written documentation for Policy and Procedure Manual.
- Prepare and Distribute Annual Deep Clean Schedules.
- Maintain an updated Roster of Volunteers including Board of Directors and foster care volunteers.
- Collaborate with the Director and the Assistant Shelter Manager to provide a monthly "Zippi Digest" that focuses on changes and / or improvements in cat care.
- Continuous Improvement: Stay updated on industry best practices in volunteer management and implement innovative strategies to enhance the volunteer program. Seek feedback from volunteers and stakeholders to identify areas for improvement and implement necessary changes.
- Provide written letters and/or recommendations, if requested
- Provide Official Name Badge when Volunteer has proven their commitment to a long-term relationship
