Volunteer Manager
Details
Description
Peter Zippi Memorial Fund is seeking an engaged, organized, and people-oriented Volunteer Manager to help lead and support our volunteer program.
We are a small, grassroots cat rescue with a dedicated team of volunteers, many of whom have been with us for years. This is not a high-volume recruitment role. We are looking for someone who will get to know our volunteers, stay connected to what is happening at the shelter, and help keep the program organized, responsive, and welcoming.
Responsibilities may include:
- Reviewing applications following an initial phone screening to determine whether applicants should advance to orientation.
- Conduct additional applicant follow-up and reference checks when appropriate.
- Coordinate training, regular shift placement, and follow-up with new volunteers.
- Maintain the volunteer schedule and oversee communication about vacations, absences, and shifts needing coverage.
- Support established volunteers, notice when someone may be struggling or disengaging, and address reliability or conduct concerns respectfully.
- Maintain volunteer records, signed forms, and the Volunteer Manual.
- Help prepare recurring volunteer communications, including operational reminders, program updates, and recognition.
- Maintain simple recurring schedules, including our shelter deep-clean assignments.
- Work closely with the President while independently handling routine volunteer decisions.
The Volunteer Manager will have the authority to assign shifts, approve scheduling arrangements within established guidelines, determine when new volunteers are ready to work independently, and address volunteer fit or performance concerns.
We are open to dividing the responsibilities between two volunteers when their skills and interests complement one another. For example, one person may focus more heavily on applicant assessment and volunteer support, while another manages scheduling, records, and recurring communications. Responsibilities and decision-making authority would be clearly defined so each person understands what they own.
