    Role Summary

    The Onboarding Specialist is responsible for managing the transition period between a candidate's acceptance and their full integration into the team. This role ensures that all administrative, technical, and communicative workflows are executed efficiently to provide a seamless "Day 1" experience.

    Key Responsibilities

    • Intake Management:
      • Process and validate incoming new volunteer requests from directorate leads.
      • Initialize the formal onboarding sequence and set internal timelines to meet target start dates.
      • Audit candidate data for accuracy before it enters volunteer management systems.
    • Communication & Tracking:
      • Serve as the primary liaison for the new volunteer, answering logistical questions and clarifying the schedule.
      • Monitor the onboarding checklist to ensure no tasks fall behind schedule.
      • Provide status reports to directors regarding the readiness of their new team members.
    • Documentation:
      • Oversee the collection, verification, and digital filing of all required volunteer documentation.
      • Maintain a high standard of data privacy and organizational compliance.
      • Ensure all internal volunteer personnel folders are complete and up to date.
    • Integration
      • Serve as the lead hire's "Welcome Committee," fostering a sense of belonging and coordinating team-wide greetings to ensure a warm, hospitable entry.
      • Coordinate the delivery of welcome materials and initial resource kits.
      • Ensure the new volunteer understands how to navigate the internal knowledge base and communication channels.
    • Cross-Functional Support
      • Coordinate with the Technology Directorate to ensure software and system permissions are active before the start date.
      • Collaborate with the Directorate point of contact to align the onboarding schedule with team-specific training.

    Skills and Qualifications

    • Exceptional Organization: Ability to manage multiple onboarding timelines simultaneously with extreme attention to detail and zero "dropped balls."
    • Proactive Coordination: High-level follow-up skills; a "driver" personality who can gently but firmly nudge stakeholders to keep the process moving.
    • Hospitality Mindset: Strong interpersonal skills with a focus on being welcoming and approachable—essential for the "Welcome Committee" function.
    • Process Proficiency: Familiarity with process tracking tools, spreadsheets, or CRMs to maintain accurate digital paper trails.
    • Remote Tool Kit: Proficient in remote collaboration suites (e.g., Google Workspace) to maintain a seamless digital experience.
    • Relevant Experience: Prior experience in HR, administrative support, or volunteer management, with a proven track record of integrating new members into a team.

    Standard Volunteer Expectations

    • Reliability: Commit to a regular volunteer schedule and complete assigned tasks promptly.
    • Communication: Respond to communications within 72 hours to ensure continuity of work.
    • Professionalism: Uphold the VPMMA Code of Conduct and treat all members with respect and dignity.
    • Confidentiality: Maintain strict confidentiality regarding organizational operations and member data.
    • Compliance: Adhere to all VPMMA safety, security, and anti-discrimination policies.

    • Term: Six months to one year commitment to maintain consistency and effectiveness.
