    Onboarding Lead -

    The Onboarding Lead manages the volunteer intake pipeline from the moment an application is received through final role placement and orientation. This role is crucial for ensuring a smooth and informative introduction to VPMMA, providing timely communication to candidates, managing documentation, and facilitating orientation sessions.

    Key Responsibilities

    3 to 5 hours per week. We offer flexibility and understand that weekly activity may vary. Effective communication about your availability is key to smooth operations:

    • Intake Management: Track and manage the volunteer intake pipeline from application through acceptance.
    • Candidate Scheduling: Schedule initial discussions/interviews with candidates, coordinating with board members/team leads as needed.
    • Communication & Tracking: Maintain tracking for all applicants and new volunteers. Ensure candidates/new volunteers receive prompt updates, confirmations, and welcome emails. Support the recruitment manager by updating application records.
    • Documentation & Orientation: Track the completion of required onboarding documentation. Coordinate orientations and determine who will facilitate them.
    • Integration: Respond to onboarding questions, guide volunteers to their next steps, and coordinate with those necessary for post-orientation volunteer placements.
    • Reporting & Process: Provide regular updates to leadership about the status, outcomes, and feedback of onboarding/pre-onboarding initiatives. Maintain up-to-date onboarding and pre-onboarding procedures in the VPMMA knowledge base.
    • Cross-Functional Support: Provide targeted writing and editing support for HR-related announcements or recruitment messaging as needed to support evolving organizational goals.

    Skills and Qualifications

    • Highly organized and detail-oriented with strong organizational and administrative abilities.
    • Strong coordination and follow-up skills.
    • Familiarity with spreadsheets, CRMs, or process tracking tools.
    • Familiarity with remote collaboration tools (i.e., Google Drive).
    • Experience in onboarding, HR, or volunteer management is preferred.

    Volunteer Expectations:

    • Commitment to Mission: Dedicate yourself to empowering military service members, veterans, and their spouses as they transition into project management careers
    • Time Commitment: Fulfill a regular service schedule, typically requiring 12-15 hours per month, depending on project cycles and specific role requirements.
    • Professionalism & Respect: Maintain a high standard of professional conduct and treat all community members with dignity, adhering to our zero-tolerance policy for discrimination and harassment
    • Reliability & Communication: Ensure punctuality for meetings and provide timely notification to your manager if you are unable to fulfill an assigned task or attend a scheduled event
    • Ethical Standards: Comply with the VPMMA Code of Conduct, including the disclosure of any potential conflicts of interest and the protection of proprietary information
    • Confidentiality & Privacy: Uphold strict confidentiality regarding the organization's operations and the personal data of the members we serve
    • Continuous Learning: Participate in required orientation, onboarding, and ongoing training sessions to enhance your skills and stay aligned with organizational goals
    • Accountability: Engage in regular performance evaluations and feedback sessions to ensure high standards of service and operational excellence

      • Alternative Report: Chief Volunteer Officer
    • Term: Six months to one year commitment to maintain consistency and effectiveness.

We aim to build a strong, supportive community through mentorship, networking, and professional development, believing strongly in the transformative power of project management skills for veterans.
