Position Overview
The Volunteer Donor Relations Coordinator plays a vital role in building, nurturing, organizing, and stewarding relationships with donors, sponsors, and community partners. This individual helps ensure that donors feel valued, informed, and connected to the impact of their contributions.
This is a hybrid volunteer role, requiring both remote work and occasional on-site presence for events, meetings, and donor engagement activities.
The ideal candidate is organized, self-motivated, team-oriented, and passionate about education equity and supporting high school seniors.
Key Responsibilities
Donor Communication & Stewardship
- Draft and send timely donor thank-you emails and letters
- Maintain consistent follow-up communication with donors and sponsors
- Assist in preparing donor impact updates and reports
- Support donor recognition efforts (events, website, social media, printed materials)
Donor Tracking & Allocation
- Maintain organized donor records using Google Drive and shared tracking documents
- Utilize Givebutter donor CRM platform (experience preferred; willingness to learn required)
- Track donor giving history and engagement levels
- Allocate and assign specific donors to appropriate events, fundraisers, and campaigns
- Help segment donors for targeted outreach efforts
Event & Campaign Support
- Coordinate donor communication before and after fundraising events
- Ensure sponsor acknowledgments are completed by event deadlines
- Support donor stewardship efforts tied to specific campaigns
Reporting & Accountability
- Provide weekly written updates on progress, donor activity, and deadlines
- Track campaign milestones and key donor touchpoints
- Present updates during quarterly board meetings (every 3 months)
Team Collaboration
- Work collaboratively with the leadership team and other volunteers
- Participate in planning meetings as needed
- Support team-based fundraising and engagement strategies
Required Skills & Qualifications
- Strong written and verbal communication skills
- Excellent time management and ability to meet deadlines
- Ability to work independently and within a team environment
- Highly organized and detail-oriented
- Proficient in Google Docs, Google Sheets, and Google Drive
- Comfortable learning and using donor CRM systems
- Reliable and responsive
