Operations & Administrative Support
Little Oaks Center for Neurodevelopment
Role Overview
This role supports day-to-day operations, organization, and follow-through across Little Oaks.
The focus is on:
- keeping systems organized
- ensuring follow-ups are completed
- supporting execution of existing priorities
This is a support role, not a strategy, programming, or partnership role.
Reporting Structure
Reports to: Nicole (Operations)
Works alongside: Founder / ED (as needed)
Supports: Board, Associate Board, and internal workflows
Core Responsibilities
Task & Project Management Support
Maintain and update tasks in ClickUp (or equivalent)
Track:
- action items
- deadlines
- owners
Ensure follow-through on:
- meetings
- decisions
- next steps
Follow-Up & Coordination
Track and support follow-ups with:
- donors and prospects (as directed)
- Associate Board members
- volunteers
- partners
- Prepare simple follow-up lists and reminders
- Flag when items are at risk of falling through
Scheduling & Administrative Support
Coordinate:
- meetings
- calls
- calendar holds
Support:
- event logistics (RSVP tracking, lists)
- internal coordination
Data & Record Keeping
Maintain organized records for:
- contacts (donors, volunteers, partners)
- events
- resources
Capture key notes from:
- meetings
- calls
- Keep shared systems clean and up to date.
Weekly Operational Support
Assist in preparing simple weekly summaries:
- What was completed
- What’s next
- blockers
- Help translate discussions into clear next steps
What This Role Does NOT Include
To keep roles clear and effective, this position does not include:
- Strategy development
- Social media management
- Partnership outreach or pitching
- Program design
- Fundraising ownership
These areas are led by:
- Executive Director
- Board / Development leadership
- Specialized volunteer roles (as built out)
Skills & Qualities
- Organized and detail-oriented
- Strong follow-through and accountability
- Comfortable managing tasks and timelines
- Clear communicator
- Willingness to learn systems (ClickUp, Google Workspace)
Time Commitment
- ~4–8 hours per week
- Primarily remote
- Occasional event support (optional)
