Mentor A Promise (MAP) is a New York City–based nonprofit organization serving children and youth ages 5–18 experiencing housing instability through mentorship, literacy, social-emotional learning, educational enrichment, workforce development, creative opportunity, advocacy, housing innovation, and community-centered support.
Through storytelling, design, marketing, publishing, merchandise, media, and public engagement, MAP works to build awareness, inspire action, strengthen community, and advance opportunities for children and families.

Role Overview
The Executive Assistant to the Chief Brand Officer serves as a trusted strategic and administrative partner supporting the Chief Brand Officer in managing priorities, coordinating initiatives, facilitating communication, and strengthening operational effectiveness across PromiseBrands.
This role helps ensure that projects, campaigns, meetings, communications, and strategic initiatives move forward efficiently while supporting the day-to-day operations of one of MAP's most cross-functional divisions.
Working closely with senior directors, creative leaders, marketing teams, designers, content creators, and executive leadership, the Executive Assistant helps maintain alignment, accountability, and momentum across PromiseBrands.
The ideal candidate is highly organized, proactive, detail-oriented, professional, and capable of managing multiple priorities in a collaborative environment.
Key Responsibilities
Executive Support
- Provide direct support to the Chief Brand Officer
- Assist with managing priorities, projects, and action items
- Prepare agendas, meeting materials, and follow-up documentation
- Track strategic initiatives and key deliverables
- Support day-to-day administrative and operational needs
Meeting & Calendar Coordination
- Coordinate meetings, scheduling requests, and leadership calendars
- Assist with divisional planning timelines and project schedules
- Prepare meeting notes, summaries, and action-item trackers
- Support leadership meeting preparation and follow-up
- Help ensure accountability across divisional priorities
Project & Initiative Management
- Track progress on campaigns, brand initiatives, and strategic projects
- Support implementation of divisional priorities
- Maintain project documentation and organizational records
- Monitor deadlines and deliverables
- Assist with coordination across multiple teams and initiatives
Communication & Coordination
- Support communication between the Chief Brand Officer and divisional teams
- Draft internal communications, updates, and follow-up messages
- Facilitate information sharing across PromiseBrands
- Ensure timely follow-up on key requests and organizational priorities
- Strengthen collaboration across teams
Administrative & Operational Support
- Maintain organized records, files, and documentation
- Assist with reports, presentations, and planning materials
- Support operational and administrative activities across the division
- Help improve workflows, systems, and organizational processes
- Contribute to divisional effectiveness and efficiency
Cross-Divisional Collaboration
- Coordinate with teams across MAP as needed
- Support organization-wide campaigns and initiatives
- Assist with executive communications and special projects
- Strengthen collaboration between PromiseBrands and other divisions
Preferred Qualifications
- Experience in executive support, administration, project coordination, operations, marketing, communications, nonprofit management, or related fields
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- Ability to manage multiple priorities and deadlines
- Strong attention to detail and professionalism
- Proficiency with Google Workspace and virtual collaboration tools
- Passion for branding, communications, marketing, and nonprofit impact

Leadership Participation
The Executive Assistant is expected to:
- Attend relevant PromiseBrands meetings
- Participate in weekly check-ins with the Chief Brand Officer
- Support leadership coordination and project tracking
- Maintain consistent communication regarding priorities and progress
Volunteer Expectations
- Approximately 5–10 hours per week
- Minimum 6-month commitment required
- Maintain timely and professional communication
- Collaborate through MAP systems and communication platforms
- Support MAP's safeguarding standards, mission, and organizational values
- Demonstrate professionalism, discretion, and accountability
