Event planning isn't exactly our forte, so we need someone who can help us shine.
You're someone who can juggle a million things at once (figuratively, of course!), but still keep a smile on your face. You're experienced and know the ropes, but you're also down-to-earth and easy to work with.
Think of yourself as a seasoned pro with a playful spirit. You're flexible enough to roll with the punches (because let's be honest, events rarely go exactly according to plan!), but you're also reliable and dedicated, always following through on your commitments.
Basically, we're looking for someone who's passionate about our mission and excited to bring their A-game to our events, even if we don't always know what that A-game is!
RESPONSIBILITIES MAY INCLUDE
General Event Coordination
- Pre-Event:
- Social Media Management:
- Develop and schedule engaging social media content (Facebook, Instagram, YouTube) to promote the event.
- Monitor and respond to comments and messages on social media platforms.
- Utilize relevant hashtags to increase visibility.
- Content Creation:
- Draft email newsletters and website content related to the event.
- Create compelling graphics and videos for social media and other promotional materials.
- Assist with the development of press releases and media kits.
- Logistics Support:
- Help coordinate with event vendors (e.g., photographers, videographers, caterers).
- Assist with gathering supplies and materials for the event.
- Research and recommend potential venues or event spaces.
- Data Entry and Management:
- Maintain accurate records of event attendees, volunteers, and donations.
- Update spreadsheets and databases with event-related information.
- Sponsorship Development:
- Research and identify potential sponsors (local businesses, corporations, foundations).
- Develop sponsorship packages with varying levels of benefits (e.g., logo placement, social media mentions, event tickets).
- Create compelling sponsorship proposals and presentations.
- Reach out to potential sponsors and cultivate relationships.
- Track and manage all sponsorship inquiries and agreements.
- Coordinate the fulfillment of sponsorship benefits (e.g., logo placement, social media mentions).
- Express gratitude to sponsors through thank-you letters, social media posts, and other appropriate channels.
- During the Event:
- Social Media Monitoring:
- Monitor social media channels for any urgent messages or issues.
- Share live updates and engaging content from the event.
- Respond to inquiries from potential attendees or donors.
- Remote Support:
- Provide remote assistance to on-site volunteers as needed.
- Troubleshoot any logistical issues that may arise.
- Post-Event:
- Data Analysis:
- Analyze event data (attendance, donations, social media engagement) to identify areas for improvement.
- Prepare a post-event report summarizing key findings and outcomes.
- Content Creation:C
- Create a post-event blog post or social media recap.
- Send thank-you messages to sponsors, volunteers, and attendees.
- Follow-Up:
- Follow up with potential adopters and donors who expressed interest during the event.
Specific Responsibilities for Adoption Events
- Virtual Adoption Screening:
- Assist with reviewing and processing online adoption applications.
- Conduct initial phone screenings with potential adopters.
- Complete reference checks for potential adopters.
- Schedule meet-and-greets between potential adopters and the sanctuary staff and dogs.
- Post-Adoption Support:
- Provide resources and support to new adopters, such as training tips, vet recommendations, and access to support groups.
Specific Responsibilities for Benefit Concerts
- Artist Outreach:
- Research and contact potential musical performers for the benefit concert.
- Negotiate performance fees and contracts.
- Assist with the development of the concert lineup.
Specific Responsibilities for Festival Activations
- Installation Design & Development:
- Help brainstorm and design interactive elements for the festival installation.
- Source materials and coordinate the construction of the installation.
- On-Site Support:
- Provide remote support to volunteers managing the installation during the festival.
Key Skills & Qualifications:
- Excellent communication and interpersonal skills
- Strong organizational and time-management skills
- Event planning and coordination experience
- Proficiency in social media marketing and content creation
- Strong computer skills (Microsoft Office Suite, CRM software)
- Passion for animal welfare, diverse communities, and The Bully Sanctuary's mission
- Ability to work independently and as part of a team
