STAFF ASSISTANT

Los Angeles County Supervisor Hilda L. Solis’ office has an immediate opening for an experienced Staff Assistant.

Supervisor Solis is proud to serve LA County’s First District, which is home to two million residents, across 246 square miles, from several diverse communities: from East Los Angeles to East Hollywood, MacArthur Park to Eagle Rock, and Alhambra to Pomona.

The candidate must be community-oriented and have a strong interest in improving the quality of life for residents of Los Angeles County, specifically First District constituents. The Staff Assistant will form part of the First District’s Administrative team and will work alongside the Legislative Deputies and the District Engagement team to provide the administrative support needed to implement Supervisor Solis’ policy priorities.

Duties include, but are not limited to:

·        Act as liaison, problem solver, and facilitator between the community and government departments and agencies within Los Angeles County for the First District.

·        Intake constituent casework under the jurisdiction of Los Angeles County Departments and Agencies.

·        Provide constituent referrals for issues concerning federal, state, and local departments and agencies.

·        Input casework into Constituent Relationship Management System.

·        Answer high volume phone calls.

·        Process and order certificate requests.

·        Edit draft language for certificate requests.

·        Review and process scheduling requests for assigned deputies.

·        Manage the calendars for assigned deputies.

·        Reserve and prepare meeting rooms for appointments.

·        Edit and properly format business letters.

·        Assist with administrative tasks as needed.

·        Process procurement requests and maintain stock inventory.

·        Assist with office operations as assigned by the Office Manager.

·        Attend community meetings and district events as assigned.

Minimum Qualifications:

·   Bachelor’s degree from an accredited college or university or 3 years’ experience as an Administrative Assistant/Receptionist in public service or the private sector.

·   A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.

·   Ability to commute to meetings and community events throughout Los Angeles County.

·   Basic understanding of Microsoft Excel, Microsoft Word, and Microsoft Teams are required.

·   Excellent interpersonal skills including phone etiquette and the ability to effectively interact with colleagues, elected officials, union/labor/corporate/business representatives, community stakeholders, and constituents.

·   Ability to work both independently and collaboratively, with sound decision-making and willingness to take direction.

·   Familiarity with communities throughout the First District.

·   Ability to work on several projects simultaneously and manage a fast-paced schedule.

·   Knowledge of a second language spoken in the district is preferred.

·   Experience in civic engagement, and/or advocacy preferred but not required.

·   Must be highly self-motivated and committed to the needs of the First District.

The ideal candidate is able to work well under pressure and meet tight deadlines, be an effective leader as well as a team player, and thrive in a fast-paced and changing environment.

Please note that this position will require work hours beyond the normal workday and will include weekend and holiday work. The position is full-time, exempt, and unclassified. All applicants will be required to take a live scan background check.
