The Executive Assistant will primarily be responsible for ensuring that the Executive Director’s time and resources are managed as necessary for them to achieve Sakhi’s mission such that it reaches diverse and relevant audiences in the movement for gender justice in the South Asian and Indo-Caribbean diaspora.

This position will report to the Executive Director and, at times, would need to work closely with the Leadership Team, Programs Teams, Communications and Development, Finance and Operations Team to help achieve the organizational goals. A successful candidate should possess great organizational skills and the ability to adapt to situations as they arise.

The daily responsibilities of the Executive Assistant include management of the Executive Director’s calendar with respect to liaising with the Board of Directors and coordinating meetings with benefactors, friends of the organization, federal and local government offices, and other partner organizations or individuals. This role also assists the Executive Director and others on the Leadership Team to organize team and organizational events such as retreats, training and fundraising events. In addition, this role will often serve as the representative for the ED, since they are liasoning on the ED’s behalf.

Sakhi, the nation’s second-oldest South Asian gender justice organization, has pioneered culturally specific approaches to working with survivors of gender-based violence from the South Asian diaspora, and has a 35-year history as a leader in the gender-justice movement.

Position Responsibilities:

? Manage the Executive Director's calendar and appointments, ensuring that all engagements are well-coordinated and timely.

  • Coordinate and oversee any travel that the Executive Director might need to undertake, including but not limited to working with host and partner organizations and making travel and stay arrangements.

  • Act as a liaison with external partners, including donors, sponsors, media, and community leaders.

  • Manage and maintain the organization's filing system, databases, and other administrative tools as needed.

  • Attend meetings with ED and compile notes or attend on behalf if unavailable

  • Draft and review communications on behalf of ED

  • Assist in organizing, executing and managing special events, campaigns, and fundraising activities.

? Organize and coordinate funder site visits to the office.

? Assist in organizing, coordinating and managing team events such as meetings and retreats.

? Work with the Board of Directors to set up quarterly board meetings and any other related tasks.

  • Perform other related duties as directed

  • Handle sensitive and confidential information with discretion and professionalism.

Desired Skills and Experience:

  • Values-aligned with Sakhi’s core principles and mission of eradicating gender-based violence;

  • Invested in gender justice, systemic change, and commitment to critiquing and building a movement;

  • Be able to practice cultural sensitivity and trauma informed communication

  • Two (2) years minimum experience in working as an Executive Assistant, Administrative or Logistics role. Preferably in a non profit setting;

  • Willingness to adopt and adapt to an organizational voice;

  • Strong interpersonal and collaborative skills;

  • Works well across teams;

  • Strong attention to detail;

  • Displays a positive attitude, shows concern for people and the community, and demonstrates presence, self-confidence, common sense, and good listening ability;

  • A “self-starter” and goal-driven to initiate donor visits and fundraising calls;

  • Has the desire build external relationships;

  • Organized and exhibits “follow-through” on tasks and goals;

  • Works well under pressure and juggles multiple time-sensitive tasks skillfully- adheres to deadlines;

  • Fluency in South Asian languages, especially Hindi, Urdu, and/or Bengali, is a plus (not required);

  • U.S. work authorization required.

This is a part-time role with an expected weekly schedule of 20 hours a week at $25 per hour. Hours can occasionally increase depending on the urgency of work. Sakhi’s office hours are Monday–Friday, 10 AM–6 PM. Staff members have the flexibility to organize their hours over the week. This position can be done fully remote or in person as preferred by the candidate. It is also preferred, but not mandatory, that the Executive Assistant be available Monday–Friday mornings. Some evenings and weekends will be required.
