Description

The Finance & Operations Specialist is responsible for working both independently and in a team environment to provide a wide range of administrative support and execution of tasks related to the day-to-day operations and events of the Center for Responsible Lending (CRL). This will include work ranging from general office support to the performance of higher-level administrative duties involving cross-team collaboration, effective decision-making, discretion, sound judgment, and tact.

ADMINISTRATIVE AND OPERATIONAL SUPPORT

  • Administer office and facilities support—responding to office demands as they occur.
  • Assist with office operations and property management in other CRL locations.
  • Monitor and manage inventory of office supplies; order and distribute office supplies to CRL staff.
  • Proactively recommend new services, products, and vendors that may improve operations of organization; ensure commitment to supplier diversity.
  • Provide operational support for Team Leaders on key, assigned projects.
  • Assist with updating the onboarding process of new CRL staff/interns and ensure staff are apprised of amendments to the process.
  • Coordinate with colleagues to onboard/offboard staff (e.g., Team Leaders, Admin-Ops)—including processing ePANs.
  • Coordinate preparation of offices for new hires and interns.
  • Schedule and set up conference rooms for meetings and arrange for video conferencing/webinars—providing technical assistance to conference leaders, as needed.
  • Along with other Admin-Ops Team staff members, serve as the technology solutions liaison; provide minor technical support to staff with office equipment.
  • Assist the Admin-Ops Team in training CRL staff on various software applications including (but not limited to) Office 365, Outlook, Salesforce, Concur, Connect, etc.
  • Coordinate office relocations and upfits in collaboration with IT and appropriate facilities/property management teams.\
  • Participate in planning events, including, but not limited to, the CRL all-staff retreat, leadership retreat, and year-end party.
  • May assist with the roll out of customer relationship management (CRM), project management (PM), or other applications as assigned.
  • May also assist with lobbying registration and updating of quarterly reports.
  • Form and maintain strong working relationships with internal staff.
  • Provide general administrative support for various tasks and other projects as assigned.

ACCOUNTING & FINANCE SUPPORT/SPECIAL PROJECTS/OTHER

  • Accurately process and code monthly invoices for payments.
  • Respond promptly to vendor payment inquiries; proactively reach out to reconcile discrepancies.
  • Reconcile business credit card charges and expense reimbursement for assigned group of CRL staff.
  • May work with the State and Outreach teams on the processing of pass-through grants and tracking payments, as assigned.
  • Assist in training CRL credit card holders on the functions of entering receipts and coding transactions properly into the Concur software.
  • Manage and implement CRL’s community service projects and collaborate with Admin-Ops colleagues on monthly DEIB activities.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS AND REQUIREMENTS

  • Associates degree or two (2) years’ relevant experience. Bachelor’s degree preferred but not required.
  • Three (3) years’ experience in a similar administrative or office management related role supporting a team or department.
  • Administrative experience and/or customer service experience preferred.
  • Demonstrated ability to work with diverse teams and deliver in a fast-paced environment.
  • Passion for CRL’s mission; interest and commitment to social justice work.
  • Preference for working in organizations that place a priority on teamwork and collaboration.
  • Demonstrated ability to communicate clearly, concisely, and persuasively both orally and in writing, and deliver presentations, training, and facilitate meetings effectively.
  • Demonstrated ability to plan, organize and prioritize multiple tasks and/or projects to meet objectives and deadlines effectively and independently.
