OFFICE MANAGER (PART TIME)

Overview:

Quantum Martial Arts Seattle, a central district nonprofit dojo, seeks an enthusiastic person with a strong commitment to social justice to be our half time office manager of our community dojo. Quantum is dedicated to interconnecting diverse communities and provides subsidized learning to underserved groups. In addition to your compensation, you will receive your own martial arts training, training for any family members and being part of a fun team. Quantum Martial Arts is a blended modern style which includes aspects of many styles including Tae Kwon Do, Karate, Wing Chun, Kung Fu, Judo, and Jiujitsu. We have kids and adult classes both in the main dojo and as outreach programs at local schools and nonprofits. See quantumseattle.org for more information on our style and our programs.

Position Summary:

Our office manager will insure basic administrative functions at the dojo run smoothly and special events are conducted effectively and efficiently. Administrative functions include new student orientation and sign-up process, student payment processing, equipment sales, volunteer teacher scheduling, and event planning and execution. The coordinator will interface with the Executive Director (ED) and Chief Instructor (CI) to ensure appropriate teaching staff is available for all classes and outreach events. As time permits, the office manager will assist with the development, planning, marketing, and delivering of special events. These activities could include festivals, parades, social events, community service events, fundraisers, celebrations, and large facilities projects decided on by the Executive Director and/or Board of Directors.

Responsibilities:

  • Work 20 hours per week, flexible hours; at least 2 evenings & Saturdays in the dojo
  • Oversee and track orientations of potential members; interfacing with ED and CI to ensure a smooth and encouraging on-boarding process.
  • Develop positive relationships with members, parents, and guardian by checking in with people off the mat during and between classes and by encouraging volunteer service.
  • Assist with dues process by reminding members about card updates and dues changes.
  • Coordinate equipment and t-shirt sales and payments.
  • Coordinate schedule of teachers for all orientations, classes and events ensuring adequate teaching coverage.
  • Perform background checks on all incoming volunteers.
  • Research, solicit and confirm opportunities to promote Quantum in the community.
  • Develop, coordinate, schedule, implement, and evaluate outreach and community events. 
  • Contribute to social media posts, and periodic newsletters.
  • Interface with Executive Director and President / Chief Instructor as needed.
  • Other administrative duties as necessary
  • Weekend, and weeknight hours are required.


Qualifications:

  • Two or more years’ experience with administrative services, volunteer coordination, event planning and/or community organizing.
  • Must be 18 years of age or older.
  • Valid Washington State driver's license and acceptable driving record. 
  • Must be a self-starter with a collaborative attitude and must be able to work independently or as a team member.
  • Possess good written and verbal communications skills
  • Exceptional attention to detail and possess strong organizational and time management skills.
  • Personable and able to develop a positive rapport with individuals while maintaining a strong sense of professionalism.
  • Confident to speak in public or virtually to small groups of community members in a variety of settings such as Zoom, Facebook live or in person gatherings.
  • Ability to build collaborative working practices with multiple community stakeholders.
  • Actively support diversity, equity, inclusion, and access efforts and work effectively across diverse cultures and backgrounds.
  • Good computer skills and ability to work with different computer applications including Google Suite, Mailchimp, Microsoft Office Suite, Zoom.
