Description

The New Suffolk Waterfront Fund (NSWF), a nonprofit organization dedicated to the preservation of a historic waterfront property on the North Fork of Long Island, is seeking an administrative assistant. We are looking for a highly organized and motivated individual to assist the Board in a variety of tasks with an emphasis on administrative support, outreach communications, and event coordination assistance. Experience in - or proven commitment to - non-profit work and education is preferred.

This is a seasonal, part time position with more responsibilities in the summer including a few weekend evenings. The work location will be mostly remote with the exception of attendance at on-site events.

 The administrative assistant will report directly to the Chair of the NSWF, but will liaise with other NSWF staff and Board members as needed.  

Responsibilities:

  • Provide administrative support to the Board members
  • Assist in promotional communications; liaise with website designer 
  • Assist in development communications; liaise with printer
  • Maintain donor database
  • Write thank you letters to donors and event sponsors 
  • Monitor the NSWF’s email          
  • Keep track of sponsorships of events including payments
  • Maintain guest lists for all events, activities and lectures
  • Communicate with people inquiring about or booked to attend events and lectures
  • Assist the person responsible for organizing events, attend events , take photos

Qualifications:

  • Bachelor’s Degree
  • Strong verbal & written communication skills and experience in social & digital media
  • Proficient in MS Word and Excel
  • Superb organizational skills and strong attention to detail
  • Independent worker
  • Proven commitment to nonprofit, preservation work and education
  • Experience with Donor Perfect and InDesign a plus

Schedule:

  • Seasonal Part Time Position. Mostly Remote. Some weekends.
  • 20 hours/week on average from May 2024 to December 2024
  • Possible start date of March in subsequent years
