OVERVIEW

We are seeking a detail-oriented and hard-working team player who is adept at managing multi-faceted event logistics, well-organized, and a strong communicator, with an interest in coordinating and supporting volunteers, staff and clergy.  Reporting directly to the Executive Director, the Major Events Coordinator will play an essential part in helping Kolot’s staff, clergy and Board of Directors provide meaningful offerings in the months leading up to and throughout the High Holy Days (HHD), including the other fall holidays, to a broad audience of around 1,000 participants for the HHD themselves.

This position runs from May to October 31, 2024. Much of the work can be done remotely, except for the events/holidays themselves, including: Kolot Annual Meeting on spring date TBD; Erev Rosh HaShanah (RH) on 10/2; RH Day 1 on 10/3; RH Day 2 on 10/4; Kol Nidre (KN) on 10/11; Yom Kippur on 10/12; Sukkah set up and take down in day(s) leading up to and following Sukkot (10/16-10/23); and Simchat Torah on 10/24.

Approximately 30 hours per week from Early May through October 31.  

PRIMARY RESPONSIBILITIES

  • Lead project manager and director of operations for all events associated with the High Holy Days (HHD), Sukkot and Simchat Torah, including planning, set up, take down, coordination and execution of services:
  • Maintain event planning calendar and assist staff in adhering to scheduling goals
  • Plan agendas and facilitate bi-weekly staff HHD planning meetings 
  • Manage all things related to registration 
  • Supervise Communications Coordinator to facilitate clear communication with congregation, community and registrants
  • Manage the logistics/scheduling of packing and transporting materials, equipment, food deliveries, etc. to and from City Tech (the Downtown Brooklyn venue where HHD services are held)
  • Engage volunteers to assume responsibilities before, during, and after HHD services and ensure smooth training for all volunteers on-site
  • Facilitate the dress rehearsal of the run-of-show and be the point of contact for members with roles in the service
  • Oversee on-site check-in/registration for each holiday in adherence with the Covid protocols that are in place
  • Produce print and online materials, such as FAQ, signage, safety procedures, etc.
  • Liaise with City Tech staff, including working with the Kolot Executive Director to finalize the contract, access, set-up and audio/visual/livestream 
  • Collaborate with Kolot’s Director of Lifelong Learning to ensure smooth execution of all HHD youth and family programming, as well as childcare
  • Set-up and break-down at City Tech and of the Sukkah for Sukkot in Prospect Park
  • Partner with Administrative Manager to schedule custodians for days at City Tech 
  • Coordinate community meals for RH Day 1 breakfast and Yom Kippur Break-fast
  • Integrate fundraising into various aspects of HHD planning and execution
  • Leading in similar coordination and management of other smaller community events, including the Annual Congregational Meeting, which will take place on a date to be determined in the Spring  

SALARY and BENEFITS

Salary: $25,000-$28,000, based on experience, which covers approximately 30 hours/week from Early May-October 31; five vacation days; five sick days; and option to participate in the health insurance plan.
