Position Summary

Headwaters’ Executive Director is responsible for the overall administration and management of the organization, focusing primarily on managing fundraising, overseeing program operations, business operations, and policy implementation.  Below is a list of the general responsibilities of the Executive Director.

Essential Duties and Responsibilities

Commitment to Board of Directors and Committees:

  • Cultivate and maintain a strong, balanced relationship with each Board member
  • Maintain a strong relationship with the Board Chair
  • With the help of Board and Committee Chairs, plan meeting agendas and supporting materials
  • Ensure that Board members are current with programs and issues that are of interest to the organization
  • Attend bi-monthly Board meetings and participate in meeting discussions
  • Identify, recruit, and train new Board members
  • Participate in and plan the annual Board Retreat
  • Support the Executive Committee in administering an annual Board self-assessment
  • Provide the Board with timely information to help it reach sound decisions
  • Provide ongoing educational opportunities for the Board so that all members can effectively promote Headwaters and its programs

Fiscal Oversight:

  • With the assistance of the Treasurer, prepare an annual budget and submit it to the Board for approval
  • Monitor annual and program budgets
  • Ensure effective audit trails by ensuring a tidy online and physical filing system
  • Interface with bookkeeper and accountant to ensure that income and expenses are properly coded
  • Ensure that fund reports are sent to fundholders twice each year

Development and Fundraising:

  • Raise funds through events, grant-writing, and other campaigns
  • Oversee and coordinate all development and fundraising efforts, including the annual Headwaters Harvest Festival and major donor events
  • Ensure compliance with funding sources and regulatory requirements (such as grant reports)

School and Community Relations:

  • Nurture a strong relationship with the Superintendent, School Board, staff, students, and families of Rappahannock County Public Schools
  • Serve as chief liaison with community organizations, individuals, and businesses
  • Promote a visible positive image of Headwaters in the community through good public relations

Organizational Governance & Strategic Planning:

  • Regularly review and implement organizational policies
  • Work with the Board to develop organizational goals and objectives consistent with the Headwaters mission
  • Work with the Board on the organization’s 3-year strategic plan
  • Work with the Board to set short-range objectives to meet the goals of the long-range plan

Programs:

  • With the support of the Deputy Director of Programs, assist in supervising all programs, services, and activities to ensure that program objectives are being met and that budgets are being adhered to
  • Provide support to the Deputy Director of Programs in evaluating Headwaters’ programs

Staff and Administration:

  • Hire, supervise, and evaluate all staff members
  • Administer Board-approved personnel policies
  • Manage the Headwaters office, ensuring efficient and smooth-running operations

Marketing:

  • Assist the Administrative Assistant and the Student & Community Outreach Coordinator with marketing materials
  • Assist in drafting content for the Annual Report, the organization’s primary public-facing document
  • Review and approve all marketing materials released to the public
