Description

Responsibilities:

  • Clerical Tasks:
  • making phone calls
  • taking and distributing messages
  • handling inquiries (admissions, donations, etc.)
  • replying via email or through the mail to requests for information
  • creating, checking and distributing documents and correspondence
  • photocopying, scanning and laminating
  • receiving, preparing and sending outgoing mailings and packages
  • documenting morning student attendance
  • Monitor and manage operational software including:
  • Camera Security System
  • Visitor Management System
  • Emergency Management System
  • Google Suite
  • Student Information System (currently Jupiter Grades)
  • Student attendance:
  • Update SIS with attendance updates
  • Call families of absent or tardy students daily
  • Document late arrivals and early dismissals
  • Answer a multi-line phone system with accurate and timely information; document and forwarding phone messages to staff
  • Accurately record and process all financial payments (e.g. family fees, uniform payments)
  • Greet visitors and serves as “gatekeeper” for the institution
  • Provide detailed and accurate information about school events
  • Manage weekly school wide document distribution
  • Monitor activity to ensure the safety and security of all youth, families, and visitors
  • Actively engages with students during arrival, dismissal, lunch, and house meetings
  • Participates in “common life” events (Mass, lunch, house meetings) with students (when volunteer coverage is provided)
  • Other tasks as assigned

  • Is present, ready to work, and on-time for all scheduled hours and for staff meetings, professional development workshops, and staff retreats .
  • Agrees to abide by all requirements and expectations enumerated in the current academic year's Staff Handbook.
  • Maintains confidentiality concerning our community members when interacting with others outside the school
  • Attends and participates fully in staff orientation programs, staff meetings, and staff retreats.
  • Provide exceptional customer service to youth, families, and visitors
  • Interacts with children, families, and team members in a supportive and respectful manner.
  • Serve as a positive representative of the St. James community at all times
