Role Overview

The Operations Manager is a systems-thinker with a desire to strengthen and streamline the inner workings of teams, matched with an enthusiasm for supporting the people who comprise them. Our ideal candidate is passionate about the principles, policies, systems, and rituals that support the DCTP team in building an impactful, consentful, and exciting work environment. This person is self-directed, extremely detail-oriented, and able to work in a collaborative environment with a broad range of partners. We are seeking a candidate with experience in office management, HR, and/or grants administration with a strong commitment to social justice.

The primary focus of the operations role will be to support the DCTP team in building and maintaining organizational systems, practices, and documentation, while providing administrative support in the areas of finance, IT, grants management, board and fiscal sponsors relationships. The Operations Manager will work closely with the DCTP leadership team on administrative, financial, and fund development tasks and timelines. The Operations Manager will support the entire team by facilitating team building and gathering, hiring and on-boarding, professional development, logistics support, and other activities contributing to a positive work culture.

This is a staff position, full time (32 hours per week). This role's salary is $60,000 (in alignment with DCTP’s set pay bands), and includes a competitive benefits package including employer-sponsored Medical, Vision, Dental, FSA, and retirement

matching. Work days are Monday through Thursday. This is a hybrid position, with flexibility for remote or in-office work.

Scope of Responsibilities

People & Practices

  • Support the articulation, documentation, and communication of organizational policies and announcements
  • Lead an annual staff evaluation cycle, with process support from Director of UX and Accessibility
  • Document, facilitate, and evaluate new employee onboarding and offboarding processes and protocols
  • Co-design, document, and implement activities and rituals that recognize and celebrate team members as powerful workers as well as whole humans, including through appreciations, team building and bonding, birthday celebrations, self-care and healing spaces, etc.
  • Collaborate with the People and Platforms team, with input from all staff, to develop and implement internal protocols and practices (communications, office policies, conflict resolution, etc)
  • Approve time-off, professional development, and comp time requests

Team and Board Support

  • Coordinate team and board meetings and retreats activities, including scheduling, catering, accessibility, agenda setting, facilitation, and documentation
  • Support staff in preparing for community events, trainings, and presentations, including DiscoTech fairs with the Detroit Digital Justice Coalition.
  • Manage DCTP work platform accounts (Zoom, GSuite, Slack, etc.) including renewals and passwords
  • Assist when necessary with agendas, travel arrangements, appointments, etc.
  • Support the DCTP team in compiling board report content and Advisory Board communications

Administration & Accounting

  • Facilitate vendor and partner contract/agreement development and records management
  • Manage, initiate, and track accounts payable and receivable
  • Review monthly financial reports and distill them for the DCTP leadership team
  • Manage a grants tracking system to ensure timely delivery of proposals, reports, and other documents
  • Coordinate office activities and operations with AMP Sponsored Projects Program guidelines, requirements, and offerings
  • Coordinate office activities and operations with LOVE Building management and broader campus community
  • Perform general office operations such as supply purchasing and calendar management
  • Prepare individual program/department budget spreadsheets
  • Approve payment requests, expense reports, and reimbursement requests

Fundraising

  • Maintain prospective and awarding funder database
  • Assist Directors in the compilation of grant proposals and reports. This may include:pulling language from previous grants
  • conducting interviews with project leaders
  • compiling data and selecting quotes from program evaluations
  • compiling photos, videos, and other supplemental materials.
  • Collaborate with People and Platforms team to prepare and submit annual DCTP policy addendum update to AMP Employee Handbook

Qualifications

Required

  • A commitment to the Detroit Digital Justice Principles
  • Two to three years experience in nonprofit operations, administration or management
  • Strong organizational and time-management skills with ability to meet deadlines
  • Strong interpersonal skills and ability to coordinate a diverse and busy staff
  • Ability to manage multiple priorities and timelines
  • Excellent written, oral, and interpersonal communication skills
  • Capacity and competency for cross-cultural communication and working with diverse groups of people
  • Desire and ability to work in diverse communities
  • Ability to hybrid (office and remote) team environment
  • Basic computer skills and familiarity with Google Suite, Microsoft Office, and similar software

Good to have

  • Experience with grants management and reporting
  • Familiarity with Detroit’s neighborhoods and community organizing landscape
  • Multilingual
  • Experience in meeting facilitation
  • Experience in organizing community events
  • Experience facilitating virtual conferencing and collaboration tools like Zoom, etc.
  • Ability to lift 25 lbs.
