Position Summary

The Hub Project is looking for an experienced Contracts Manager who will be a core Finance and Campaign Operations team member. This team member will be responsible for the start-to-finish procurement process including collaborating with external partners, internal partners, compliance, and account team members. The Contracts Manager will work with a team of passionate and talented staff within the organization to support dynamic and effective issue advocacy campaigns. This position is critical to the success and operations of our programs, working daily to get agreements in place, keep workflows moving efficiently, and moving money out the door.

As the Contracts Manager, you will manage:

Contracts & Amendments:

  • Own and facilitate the entire lifecycle of contracts and amendments, from initial request submission to final agreement signature, guiding stakeholders along the way.
  • Prepare contracts with high attention to detail, adhering to established contract templates and taking care to ensure the accuracy and completeness of the information.
  • Collaborate closely with stakeholders at all levels of the organization to identify contract and amendment needs and requirements.
  • Serve as the primary point of contact and subject matter expert on all contract-related matters, providing guidance and support as needed.
  • Monitor and track active contracts, identifying opportunities for renewal, adjustments to contract caps, and contracts at risk of lapsing.
  • Circulate weekly and ad-hoc updates on the status of agreements in process.
  • Facilitate effective coordination and communication between program teams, legal and compliance, fiscal sponsor’s account team, and finance. 
  • Work closely with in-house and external legal counsel to address legal issues and ensure compliance with regulatory requirements.
  • Continuously evaluate and enhance existing processes, as well as support the development of new procedures to optimize contract execution efficiency.

Payments & Corporate Card Management:

  • Assist the Finance and Campaign Operations team members in reviewing invoices to ensure accuracy and alignment with contract terms.
  • In partnership with team members, help facilitate accurate and timely processing of payments associated with contractual agreements.

Ad Hoc Reporting & Analysis

  • Generate ad hoc reporting or requests to support the Director of Finance and Campaign Operations, the COO, and program teams in decision making.
  • Aids with s-ecial reporting as requested by state or program teams.
  • Assists with special projects as assigned, prioritizing tasks based on organizational needs and time constraints.

About You:

The ideal candidate will possess:

  • A minimum of 3 years of prior experience working in operations with a preference for experience in contracts management.
  • Highly detail oriented and process driven.
  • Demonstrate a commitment to building a just and inclusive economy that provides opportunity and dignity to all Americans and a passion for preserving and strengthening democracy.
  • Proven track record of building consensus and experience working with partner organizations and forming meaningful organizational collaboration.
  • Effective verbal and written communication skills, with an ability to articulate concepts to stakeholders of all levels in the organization.
  • Strong interpersonal skills and are comfortable collaborating with a team while taking ownership of your piece of a project.
  • Flexible with a penchant for problem solving and thinking on your feet.
  • Experienced in working with people from diverse racial, ethnic, and socioeconomic backgrounds, and able to incorporate the perspectives of multiple communities, particularly those from marginalized communities, into decision-making processes.

Comprehensive benefits package that includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits. Employees will receive 120 hours of vacation time, 80 hours of health leave, up to 2 days of casual leave, and 20 hours of volunteer leave annually.
