Description

Status: Full-Time Exempt


Location: This role is full-time and remote within the continental United States. All FFJC staff work core hours from 12-4pm ET, Monday through Friday, with the remainder of working hours set in agreement with the Chief Operating Officer to accommodate the  time zones in which the candidate is located. The Operations and Grats Manager must be able to travel domestically twice a year for all-staff retreats.

 

Nearly every interaction a person has with the justice system, regardless of guilt or innocence, comes with a bill. But for those without the means to immediately pay up or fight back, one missed payment opens the door to dire, lifelong consequences. 


Fines and Fees Justice Center (FFJC) was founded to end the immoral practice of governments’ using fines and fees to profit off the most vulnerable. We empower state and local efforts to end fees in the justice system and ensure that fines are fair and equitably imposed. Over the last six years, FFJC has achieved over 20 legislative victories and directly aided even more, authored two dozen original research and policy reports, and partnered with more than 300 organizations to advance the national fines and fees reform movement.


Fines & Fees Justice Center, needs a talented individual with office and grants management skills who will excel in a fast-paced setting. The Operations and Grants Manager reports to the Chief Operating Officer and anticipates operational needs, drafts institutional policies and procedures and carries out the day-to-day tasks that ensure proper grants and contract management and operational excellence. 

Responsibilities and Tasks

Operations

  • Administer internal standard operating procedures; determine the need for new processes and develop them in coordination with the Chief Operating Officer.
  • Draft and manage professional and vendor contracts.
  • Review and submit invoices for payment.
  • Oversee sub-grant process from grant award to close.
  • Manage the purchasing process and make organization-wide purchases.
  • Manage job postings, hiring process and onboarding new staff. 
  • Be a proactive and reactive resource for the staff and support organization at large in administering internal processes. 
  • Serve as back-up for payroll approval and HR coordination with Insperity.
  • Assist with state and federal reporting requirements.
  • Serves as backup support for the operations team as needed.


Grants

  • Steward new grant submissions and active grants reporting to funders. 
  • Submit required documentation to grantors in an accurate and timely manner.
  • Oversee tracking and timely reporting of grants and donations.


Qualities we need in an Operations and Grants Manager

  • At least 5 years of professional experience in operational support, and/or grants management, ideally in a nonprofit, two of which as a manager. 
  • A calm and approachable professional with: 
  • excellent written and oral communication skills; 
  • proficiency in Google Suite; and
  • comfort with technology and learning new systems.
  • Someone who works well both independently and collaboratively eager to take on ad-hoc projects and is:
  • organized, diligent, proactive, and detail-oriented;
  • an excellent problem solver;
  • able to prioritize competing demands;
  • sensitive to and appreciates diverse viewpoints, different communication styles and colleagues from diverse cultures and backgrounds; 
  • optimistic, collaborative, and team-oriented; and
  • collegial and humble with a sense of humor!

Benefits

FFJC’s compensation philosophy is comprised of a 5-band salary structure. The Operations and Grants Manager is a band 2 position. The starting salary for the position is between $85,00 - $92,500 based on the qualifications of the candidate at the time of hire. The full salary range assigned for the position is $85,000 - $110,000 and has been determined based on a variety of factors including market competitiveness and the full package of benefits FFJC offers.
