Job Description:

The Philanthropy Coordinator is responsible for daily implementation of gift/pledge processing activities for Villa Esperanza using the database system Donor Perfect. This position helps support and grow the donor relations program by helping to identify donor prospects and manage direct mail campaigns. Provides high level administrative support to the team, including events and works closely with the finance department with reconciliation of monies. In addition, this position manages and tracks all contracts or licenses related to department software.

Compensation: $19.00 - $22.00/hour (DOE)

Schedule: Monday – Friday, 8:30 AM – 5:00 PM (40 hours/week)

Location: On-Site

Duties and Responsibilities to include but are not limited to:

  • Maintains database of donors, individuals served, and staff information.
  • Records and tracks all donor gifts/pledges; follows up with any payment inquiries.
  • Generates donor acknowledgments, notifications, and pledge letters via mail merge in Microsoft Word.
  • Supports Philanthropy team with data inquiries and reports (e.g., gift lists, donor lists, mailing lists, printing letters/envelopes, etc.)”
  • Helps identify Major Donor and Capital Campaign prospects.
  • Manages monthly giving campaign and marketing.
  • Responsible for tracking grant expenditures, filing, organizing, and maintaining records.
  • Provides event support such as registration, cashiering, auction assistance, etc., as needed.
  • Provides high level administrative support to the team.
  • Works closely with the finance department with reconciliation of monies
  • Processes checks and credit cards for semiweekly deposits; reconciles deposits and Capital Campaign tracking with Finance monthly.
  • Reconciles executive expenditures.
  • Purchases equipment and supplies for the department, as needed.
  • Demonstrates commitment to the organization's mission and sensitivity to the needs of individuals with intellectual/developmental disabilities.
  • Other duties/special projects as assigned such as: attend team staff meetings, attend community events (as needed), maintain confidentiality of clients, families, donors, etc., handle other tasks as assigned.

Qualifications/Required Skills:

  • Associate degree (A. A.) or equivalent from a two-year college or technical school; or two years of related experience and/or training; or equivalent combination of education and experience
  • Familiarity with CRMs or cloud databases
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Knowledge of Adobe Creative Cloud applications, or similar software, a plus.
  • Familiarity with database query structure preferred.
  • Proven ability to effectively manage multiple projects and meet deadlines.
  • Previous customer services experience a plus.
  • Good written and verbal communication skills.
  • Detailed oriented and organized.
  • Problem solver willing to help yourself and others overcome challenges and roadblocks.
  • Team player, willingness to work collaboratively with both internal and external stakeholders.
  • Ability to apply common sense understanding to conduct instructions furnished in written, oral, or diagram form.
  • High level of integrity, diplomacy and initiative.
  • This position requires weekly driving (estimated 5-10 miles per week) between Villa sites. Mileage reimbursement provided twice a month at the IRS approved rate).

**Final candidates must satisfactorily complete a fingerprinting clearance, physical & TB screenings, and submit proof of vaccination for COVID-19 + booster dose, if eligible.
