ABOUT PILCHUCK

Pilchuck Glass School (PGS) is an international center for glass art education. Our serene campus in Stanwood, Washington, is nestled in the foothills of the Cascade Mountains in the middle of 15,000 acres of a working tree farm. PGS is located an hour north of Seattle and maintains an administrative office in the city’s historic Pioneer Square.

From May through September every year, our summer and fall program offers a series of courses as well as residencies for established artists in all media. Summer sessions vary in length and offer concurrent courses in a variety of glass working processes for artists of all skill levels. Small classes taught by world-renowned artists and instructors emphasize experimentation and teamwork while fostering individual initiative and expression. PGS also offers residencies for both emerging and established artists during the fall and spring. Increasingly, PGS is introducing new programming to populations that have traditionally lacked access to this type of educational experience.

ABOUT THE POSITION

Reports to: Director of Development

The Donor Services & Database Specialist will serve as an integral part of the Development team located in Seattle, Washington. This position is based in the Seattle office with occasional travel to our campus in Stanwood, WA, for staff meetings and donor cultivation events.

This position is primarily responsible for administering the organization's Constituent Relationship Management (CRM) systems and managing fundraising, stewardship, and cultivation efforts. They will work closely with team members across the organization.

Primary location is the Seattle office, with occasional trips to campus. Our office is currently hybrid with flexibility of in-person and work from home. This position will require in-person presence each week. Salary range is $28.85 - $31.25/hour (DOE) with comprehensive benefit package including medical, dental, vision, 401K eligibility after six (6) months employment, and generous paid time off.

Position Responsibilities

  • Function as primary database administrator and manage all aspects of Raiser’s Edge software including queries, coordinating database training for staff, documenting policies and procedures, and maintaining a working manual.
  • Maintain database records including entering constituent profiles, contacts, address changes, and other pertinent information.
  • Maintain the integrity of the database, including performing systematic cleanup, imports/exports, global updates, attributes and code table management, and other maintenance when needed.
  • Process donations, pledges and receivables, and event reservations.
  • Serves as liaison with software and platform vendors.
  • Coordinate with Director of Development to record and track a comprehensive solicitation, acknowledgment, and stewardship strategy for all donors.
  • Prepare donor communications including acknowledgment letters, pledges, receivable invoices, giving statements, and other receipts and confirmations.
  • Liaise, reconcile with and provide reports to support finance functions, including annual audits.
  • Create informational and analytic reports and dashboards and provide YTD revenue analysis to ensure financial objectives are met.
  • Work as part of the Development team to coordinate and execute fundraising, stewardship, and cultivation events.
  • Assist Director of Development in providing data and insight for engaging new stakeholders and existing annual donors and convert this group to major donor status.
  • Produce reports and targeted mailing lists for annual giving and stewardship efforts.
  • Track and evaluate annual campaign program success against goals.
  • Support planned giving efforts.
  • Provide technical support, reporting, editing, tracking, and records maintenance for grant proposals.
  • Other duties as assigned. 

Required Skills

  • High proficiency in CRM management; Raiser’s Edge experience preferred
  • Keen ability to work with details and present accurate data
  • Proficiency with Microsoft and Google applications
  • Comfortable with management and integration with other platforms such as Greater Giving
  • Ability to present and share information effectively
  • Ability to work independently and as part of a team
  • Excellent organizational and time management skills

Education and/or Work Experience Requirements

  • 3+ years’ experience in related role required
  • 4-year degree preferred; experience or a combination of education and experience can substitute for a completed degree
  • Non-profit experience a plus
  • Ability to handle and safeguard confidential information
  • Customer service experience including email/letter writing and phone skills

Physical Requirements

  • Ability to lift at least 20lbs
  • Must be able to talk, listen, and speak clearly with fellow staff, program participants, and visitors
  • Must have close vision to read, compose, and edit on a computer
  • The ability to walk, ascend, and descend stairs and ramps on campus
  • The ability to periodically travel to our Stanwood campus (one hour north of Seattle)
