The Embodiment Institute (TEI) is a training institute, research entity, and culture change engine that strategically develops people and organizations to be agents of transformation in families, social movements and the environment. Founded in 2020, TEI is an organization that utilizes multiple strategies including online and in person trainings, written publications, and land stewardship to reach a broad audience of people and groups looking to build embodied emotional skills into their lives and culture.

Position Description

The Operations Manager is a leader and project manager in the areas of Operations, Safety & Digital Security, HR, and Finance with a talent for implementing sustainable and values-aligned practices that scale the impact of TEI’s mission. This position will work closely with the Operations Director in developing new systems and improving existing ones, leveraging their strong technology and relational skills within an organization that is scaling and changing to meet the needs of this moment.  The Operations Manager joins a dynamic, motivated team of creative and embodied practitioners collaborating virtually across the country.

Essential Job Functions 

Operations and Internal Projects- 25%

  • Co-creates and evolves operational practices and systems for Owl Song, our retreat center and land project
  • Collaborates with stakeholders across the organization to map processes & relationships and to support the design of effective operational workflows 
  • Supports the Operations Director by planning, implementing, and monitoring emergent internal projects as needed

Safety, Security, and IT Infrastructure- 25%

  • Owns physical & digital security policy and procedure protocol for TEI as a remote organization and retreat center
  • Liaises with stakeholders across organizations to develop and maintain security practices that enhance the safety of Owl Song visitors, TEI staff, and TEI online community members 
  • Supports the Operations Director with information and technology infrastructure decisions and upkeep
  • Owns special security practices and procedures for high visibility staff
  • Owns documentation and training of TEI staff on security protocols and IT platforms

HR and Compliance- 20% 

  • Supports the creation, adoption, evaluation and iteration of values-aligned organizational policies & practices and maintains TEI’s Employee Handbook
  • Manages TEI’s recruitment, hiring, and onboarding processes 
  • Manages state and federal compliance and maintains business insurance
  • Promotes growth and accountability to an embodied and relational culture through annual culture assessment process and through management of organizational rhythms and practices 

Finance- 20%

  • Supports Operations Director with key financial management processes including annual budget creation & management, cash flow management, and board financial reporting and analysis
  • Maintains and updates fiscal policy and procedures manual in collaboration with the Operations Director and the accounting consultant
  • Supports with annual 990 filing and annual financial audit process
  • Support the Operations and Development Coordinator as needed with administrative finance tasks

Embodiment Learning, Internal Culture, Emergent Opportunities - 10%

  • Engage in staff development and embodiment practice, 
  • Participate in TEI staff meetings, retreats, and department meetings.
  • Complete TEI administration tasks as needed including expense reports, time cards, evaluation tasks, etc
  • Respond to emergent opportunities, as needed

Qualifications

  • Five or more years of project management, non-profit operations, IT, and/or digital security experience
  • Proven track record of building and maintaining effective and strategic communication with multiple stakeholders
  • Process management skills: able to hold, deliver, and continuously improve upon multiple processes, making them more easeful, values-aligned, and impactful
  • Project management skills: stays on top of multiple projects, plans backwards, anticipates obstacles, identifies and involves stakeholders appropriately, uses resources wisely 
  • Excellent organizational and communication skills and commitment to follow through
  • Proficient in G-suite, Zoom, Calendly, Excel, Slack, project management software (ie Monday.com)
  • Preferred: experience in healing justice or social justice fields
