Job Title: Grants Administration Assistant

Status:  Full Time Regular | Non-Exempt Employee

About the Position:  The Maryland Legal Services Corporation, a nonprofit, statewide grant maker, seeks a full-time Grants Administration Assistant to manage routine grantee notifications and submissions; ensure that documented grant processes are carried out timely; compile and organize grant related documents; and provide support to the grants team.

Our office is in downtown Baltimore, Maryland. Following an onboarding period, the Grants Administration Assistant may work in a hybrid format.

About The Maryland Legal Services Corporation  

The mission of Maryland Legal Services Corporation is to ensure low-income Marylanders have access to stable, efficient and effective civil legal assistance through the distribution of funds to nonprofit legal services organizations.

MLSC is a legislatively created nonprofit corporation that distribute funds from the Interest on Lawyer Trust Accounts (IOLTA) program and other sources, for the provision of civil legal services to low-income Marylanders. In addition to IOLTA, MLSC receives funding from surcharges on certain court filing fees and a distribution from the Abandoned Property Fund. MLSC currently provides funding to 46 nonprofit grantees throughout Maryland to ensure that eligible clients in all areas of the state have access to legal assistance.  In 2021, The Maryland General Assembly established Maryland's Access to Counsel in Evictions (ACE) program, one of the first programs in the nation to provide tenants facing eviction with access to a free attorney.  MLSC proudly administers the ACE program, as well as several other special programs designed to increasing access to justice.

Primary Responsibilities: 

Manage routine communications and notifications for applicants and grantees.

Schedule grant-related webinars and meetings and coordinate the creation and distribution of program materials.

Perform critical data entry and archival tasks to support the grant programs.

Monitor routine grantee reporting, and escalate issues as needed.

Serve as custodian of key grant reports and communications.  This includes following document retention policies to ensure proper maintenance and archiving of documents.

Prepare and maintain grant-related records and summaries.

Maintain and update guides, forms and other documentation and assist in developing grant-related materials for external stakeholders.

Understudy the Grants Coordinator, progressively learning to provide significant backup and coverage for elements of that role.

Schedule grantee audits and assist the Grants Coordinator with audit processes.

Maintain grant contacts across all digital systems.

Other duties as assigned.

Qualifications:

Level of education/experience:  Needs 4 years of corporate or nonprofit experience. Post high school training or higher education may be substituted for up to 3 years of experience.

Experience with/in Excel required.

Experience with/in Microsoft Office 365, Adobe, and databases preferred.

Excellent attention to detail and organizational skills required.

Strong communication skills required.

Ability to work both independently and as a member of a team required.

Comfort with technology and working in a hybrid environment required.

Notary Public preferred or willingness to become Notary Public.

Reports to:         Deputy Director

Salary/Benefits: $40,000-$50,000 salary depending on experience and skills, plus generous benefits package including health, dental, long-term disability, retirement plan and organization-paid parking/transit allowance.
