Title:  Finance and Administration Director 

Employment Type: Exempt, full time, 37.5 hours per week 

Reports to: Executive Director

Location: East Aurora, NY – some remote work possible

Salary Range: $80,000-95,000 D.O.E.

Western New York Land Conservancy’s mission is to permanently protect land with significant conservation value in Western New York for the benefit of future generations. 

The Finance and Administration Director will ensure that the Land Conservancy maintains an accurate and organized financial management system, complies with legal requirements, provides reliable data, and supports realistic projections of revenues and expenses. The Finance and Administration Director works closely with the Leadership Team to maintain an infrastructure that supports the team’s ability to work efficiently on grant and program development, implementation, and evaluation. This position is responsible for all Human Resource (HR) related activities and compliance. The Finance and Administration Director supervises and works closely with the Operations Manager to execute all finance and administration requirements of the Land Conservancy.

What You Will Do:

Financial Management

• Lead the annual budgeting and planning process

• Develop and clearly communicate financial reports in an accurate and timely manner with the Executive Director, Leadership Team, board Treasurer and board Finance Committee

• Manage financial, grant, and project accounting including performance and variance analysis

• Manage the accounting and bookkeeping process, including cash receipts and disbursements, fixed assets, financial schedules, banking and fund balances, and working with the Operations Manager on accounts receivable/payable

• Ensure that financial data and cash flow are steady and support operational requirements

• Lead the annual audit process, working closely with the auditor and audit committee

• Maintain corporate records and meet all state and federal legal requirements

• Direct risk management through internal controls, document evaluation including review of contracts, leases, and records maintenance

• Act as staff lead to the Finance Committee and liaise with the Treasurer 

Human Resources

• Manage all HR processes including hiring, onboarding/offboarding, annual assessments, and work plan development

• Report payroll and oversee internal time tracking

• Direct staff benefits and annual health plan enrollment

• Support professional development plans for all employees

• Update and maintain the personnel handbook

Administration

• Supervise the Operations Manager and their work to:

• Ensure efficient utilization of space and consistent operation as the organization expands 

• Work with vendors to manage technology improvements and acquisition, including ongoing maintenance of systems, networks, and technical services

• Ensure IT systems are secure, compatible, integrated, and aligned with current/projected needs

• Maintain appropriate, affordable insurance for business, directors, and staff

• Support the reaccreditation process with Land Trust Alliance and ensure ongoing compliance with applicable Land Trust Alliance Standards & Practices

Other

• Work collaboratively to help implement the Land Conservancy’s Equity Plan, ensuring Land Conservancy policies and procedures are in alignment with the organization’s DEI goals

• Support strategic planning as needed

• Participate as a member of the Leadership Team

• Participate in staff and Board meetings

• Provide direct and effective supervision of the Operations Manager and others as assigned

What You Will Bring: 

• Undergraduate degree in Finance, Accounting, Non-Profit Management, or related field is preferred; work experience can substitute for degree 

• At least 5-7 years of relevant experience in nonprofit finance with fund accounting 

• Experience with Google Drive, Microsoft office suite, online banking, and accounting software

• Experience with financial grant management and/or project budgeting

• Non-profit management experience

• Practical knowledge of employment regulations at the state and federal level 

• A commitment to candid and transparent communications

• Time management skills that balance flexibility and responsiveness with adherence to deadlines 

• Record of integrity, discretion, and ethical decision-making 

• Ability to work independently with a high level of accountability and attention to detail 

• Strong interpersonal skills 

• A commitment to excellence, teamwork, and continuous learning in a fun, fast-paced environment

Physical Demands: 

This position requires the ability to remain in a seated position for long stretches of time, high volume of operating standard office equipment and keyboards, and occasional lifting of items up to 30 pounds
