Job Title:  Office and Communications Assistant

Status:  Full Time Regular | Non-Exempt Employee

Summary:  The Maryland Legal Services Corporation, a nonprofit, statewide grant maker, seeks a full-time Office and Communications Assistant to provide day-to-day office operations and communications support.

Our office is in downtown Baltimore, Maryland.

Following an onboarding period, the Office and Communications Assistant may work in a hybrid format.

About The Maryland Legal Services Corporation  

The mission of Maryland Legal Services Corporation is to ensure low-income Marylanders have access to stable, efficient and effective civil legal assistance through the distribution of funds to nonprofit legal services organizations.

MLSC is a legislatively created nonprofit corporation that distribute funds from the Interest on Lawyer Trust Accounts (IOLTA) program and other sources, for the provision of civil legal services to low-income Marylanders. In addition to IOLTA, MLSC receives funding from surcharges on certain court filing fees and a distribution from the Abandoned Property Fund. MLSC currently provides funding to 46 nonprofit grantees throughout Maryland to ensure that eligible clients in all areas of the state have access to legal assistance.  In 2021, The Maryland General Assembly established Maryland's Access to Counsel in Evictions (ACE) program, one of the first programs in the nation to provide tenants facing eviction with access to a free attorney.  MLSC proudly administers the ACE program, as well as several other special programs designed to increasing access to justice.

Primary Responsibilities:

Office Operations:

Process and distribute incoming mail.

Track and order office supplies as needed.

Implement and maintain systems for organizing office supplies, equipment, and documents.

Record monthly photocopier meter reading and communicate readings to vendor.

Monitor and route incoming phone messages.

Update, edit, and maintain MLSC working documents as directed.

Track and maintain receipts for MLSC credit cards.

Organize MLSC “Sunshine Club” events including planning monthly lunches, recognition of MLSC staff birthdays and work anniversaries, holiday cards and holiday gifts for building staff.

Primary contact with building management on facility issues and requests.

Provide administrative assistance on routine activities and special projects including photocopying, mailing and other duties.

Communications:

Update the MLSC Website as needed.

Maintain press clippings and prepare press clippings presentation for MLSC Board meetings.

Assist with MLSC Annual Awards Program.

Assist with preparation of MLSC Annual Report.

Handle outbound communications and bulk mailings.

Assist with MLSC events.

Qualifications:

Level of education/experience:  Minimum 3 years of office experience. Post high school training or higher education may be substituted for up to 2 years of experience.

Strong writing and editing skills required.

Experience with/in developing web content and social media preferred.

Experience with/in Excel required.

Experience with/in Microsoft Office 365, Adobe, and databases preferred.

Excellent attention to detail.

Notary Public preferred or willingness to become a Notary Public.

Reports to:  Finance & Human Resources Director

Salary/Benefits: $40,000-$50,000 salary depending on experience and skills, plus generous benefits package including health, dental, long-term disability, retirement plan and organization-paid parking/transit allowance.
