Position Summary

This is a position for candidates interested in building a career in development and philanthropy. In this role, you will be able to work across the HIP organization and teams by providing crucial administrative and coordination support to Partnerships and Development. Reporting directly to the Deputy Director for Organizational Giving, you will extend your development acumen, build knowledge, grow relationships, and have a meaningful positive impact on the Latine community. 

Duties and Responsibilities

Development (75%) 

  • Coordinate all of the components of the grants submission and reporting pipeline; 
  • Coordinate all grant and reporting preparation meetings with Program Leads and provide note-taking support and follow-up tasks in Salesforce; 
  • Prepares and maintains data entry, including input of current and prospective grant opportunities and documentation into Salesforce, including Letters of Interest (LOI), Grant Agreement letters/reporting templates, concept notes, meeting notes, reports, and final report submissions, etc.;
  • Responsible for submitting reports, proposals, LOIs, and concept notes to funders via funders’ portals or through email; 
  • Creates and submits grant acknowledgments and/or stewardship communications and works in conjunction with the Finance team to keep track of incoming revenue in Salesforce in a timely manner;
  • Coordinate the development team’s communications with existing funders and potential new funders;
  • Prepare reports for the Development Department as well as periodic development reports for the Board of Directors;
  • Assist with logistics for fundraising and membership events (e.g. receptions, panel discussions, funders’ briefings, and social events);
  • Maintains Monday.com, the team’s project management tool; and 
  • General administrative support for the Development Department. 

Other Related to Fundraising and Development (25%)

  • Support HIP’s prospect identification process for donors across all pillars and for the organization’s operations and agency-wide initiatives, including research and donor qualification analysis, prospect tracking in Salesforce, delivering donor/funder briefings, assisting program staff with funder meeting prep, developing systems and processes to support HIP’s prospecting needs; and 
  • Other projects and duties assigned, as needed.

Qualifications

  • 1-3 years of progressive non-profit fundraising experience with demonstrated experience in writing complex material, including prospect research and briefings; 
  • Experience with donor acquisition, engagement, and retention;
  • Experience including prospect and research, management of special events, stewardship programs, knowledge of grant reporting and proposal submission tracking, and familiarity with grant proposal attachments is preferred; 
  • Good communication and written skills with the ability to participate in all aspects of the organization and synthesize and translate what you learn verbally and in writing; 
  • Strong organizational skills, attention to detail, and the ability to juggle multiple deadlines and work streams with deadlines and time constraints; 
  • Ability to build and maintain strong working relationships across departments and work remotely with virtual teams across the U.S. and in Mexico; 
  • Able to travel occasionally; and
  • Experience in Salesforce (or other CRM system), Google Suites, Monday, Slack, DocuSign, and Zoom preferred.

Compensation

The starting hourly pay rate range for this position is $19.23-$31.18 per hour. Individual pay is determined by geographic work location and additional factors, including job-related skills and experience. New staff members typically start between the range minimum and midpoint based on qualifications and experience.

For candidates that interview, the starting hourly pay rate range will be provided based on geographic location. For reference (not inclusive of all possible ranges based on geographic location and additional factors): 

If you are in the Bay Area, CA, the starting hourly pay rate range is: $28.35-$31.18 per hour. 

If you are in Denver, CO, the starting hourly pay rate range is: $25.44-$27.98 per  hour. 

If you are in New York, NY, the starting hourly rate range is: $26.82-$29.50 per hour.

Work Environment

This position requires 7+ hours per day sitting and working from your computer. This is a remote position in the U.S. Some travel will be required. Employees are required to comply with HIP’s COVID-19 health and safety measures consistent with CDC guidelines, and federal, state, and local regulations.  Employees traveling on behalf of HIP are required to be vaccinated.
