Position Summary:

The Director of Finance and Operations is responsible for leading a variety of administrative and operations activities which support the strategic goals and ensure the organizational effectiveness, efficiency, and smooth functioning of Groundwork RVA. Reporting to the Deputy Director, and working closely with the Executive Director and bookkeepers, the Director of Finance and Operations is responsible for overall Financial Administrative Management, day-to-day office operations, the performance of Human Resource, and Information Systems administrative tasks and providing operational support for the organization overall.  The Director of Finance and Operations is a leader who makes decisions within the scope of work assignments, prioritizes work independently, and collaborates with other staff to provide services in support of GWRVA projects and programs. 


Responsibilities:

Finance Management - 70%

  • Finance administrative tasks - scan and file financial records, prepare and send accounts payable and receivables to outside bookkeeper, monitor office expenditures, and make bank deposits. Knows and adheres to generally accepted accounting principles (GAAP) 
  • Manages Accounts Payable
  • Enters bill statements and invoices into QB
  • Pays recurring bills via Bill.com
  • Shares current AP information with Executive Team to plan for timely payment
  • Manages Accounts Receivable
  • Upon receiving reimbursable grant agreements, projects, and contracts, creates Projects in QB for accurate tracking
  • Coordinates with Program and Projects Managers to identify billable expenses on a monthly basis
  • Creates and submits invoices for payment
  • Shares current AR information with Executive Team to plan for timely payment
  • Upload receipts from checking account purchases to QB
  • Coordinates with Program and Projects Managers to make sure all receipts are uploaded
  • Reconciles checking, savings, and PEX purchasing card accounts on a monthly basis
  • Serves as point of contact for CPAs
  • Enters and maintains employee information in the payroll system.
  • Maintain accurate financial records in donor database
  • Maintains records for audit and responds to requests for information from auditor
  • Builds and manages monthly, quarterly, and annual reports and forecasts.
  • Collaborates with Executive and Deputy Directors and Program Managers to create budgets and cash flow planning.  
  • Leads: 
  • Accurate and timely Grant Reporting
  • Organizes continuous improvement on financial systems


Operations, Human Resources, & Facilities Management:  30%

  • Office management - manage mail, purchase office supplies and equipment, act as liaison with vendors, maintain office equipment, coordinate meeting space, provide meeting set-up assistance, act as the point person for insurance issues, records retention management, and manage building issues.
  • Serves as point of contact for organization - greet visitors; interact frequently with vendors, service providers and donors; respond to inquiries by email and phone. 
  • Information Systems (IS) administrative tasks – manage and coordinate GWRVA outsourced IT vendors and be the point of contact for GWRVA  IT systems and equipment.
  • Serves as the administrator for HR software (Gusto) and internal processes related to personnel
  • Human Resource administrative tasks - time report coordination, new employee orientation and work area set-up, and work with vendors on employee benefit management including health insurance, retirement, and other benefits.
  • Assists Development and Communications Manager in:
  • Maintaining integrity of donor database
  • Campaigns as needed
  • Assists other staff as needed:
  • Systems implementation (time keeping, expense tracking, invoicing, etc)
  • Budgeting

Qualifications, education and experience:

  • Passion for Groundwork RVA’s mission.
  • 5+ years of bookkeeping, financial, and operations experience.
  • Highly organized and able to track finances, multiple projects, budget details, deadlines, and evaluation data.
  • Ability to work both independently, and as a team player productively engaging with others within and outside of the organization.
  • Bachelor’s degree preferred
  • Sensitivity to all gender expressions, comfort working alongside LGBTQ+ youth, and an awareness of, sensitivity to, and celebration of racial and ethnic differences.

Compensation & Benefits

Competitive salary, commensurate with experience and qualifications. This position is Full-Time exempt, with an anticipated range from $60-70,000. Health insurance (75% paid), vision and dental; generous vacation, sick, and holiday leave. Retirement benefit. Flexible work-from-home hours are allowed but the nature of the work necessitates that the Director of Finance and Operations be a consistent, in-person presence throughout the week.
