Roles & Responsibilities
Main responsibilities:
- Research bespoke and impactful learning initiatives for our global workforce, per identified needs and available relevant training available.
- Keep updated with planned training interventions by working with internal facilitators (HOS’s, HODs, etc) to understand when various training webinars will occur, and follow the programmatic planning calendar.
- Support organizational needs through onboarding, training, and upskilling staff identified in collaboration with their managers (and technical advisors where applicable) per the annual L&D plan, and general HR Workplan.
- Follow up on progress and any changes monthly, communicating progress trackers with staff.
- Communicate with teams on an ad hoc basis on free online training opportunities available on applicable and or humanitarian training websites.
- Engage with Global teams to increase access, use, and increase the impact of L&D initiatives, online training, TagBox initiatives, etc.
- Drive the use and engagement of TagBox with teams in HQ and COs with competitions and prizes where applicable – report on user analytics.
- Record all training interventions and sessions for measurement and long-term impact study in accordance with MEAL guidelines.
- Record all Mid-year and End-of-year training initiatives identified for follow-up and measurement with the staff.
- Plan and coordinate onboarding and orientation for all HQ team members.
Specific Responsibilities:
Together with the L&D/HR department, the L&D Officer will:
Internally -
- complete priority L&D projects based on the needs of the teams in HQ and COs.
- attend and observe internal training and webinars and support the engagement of in-house learning initiatives, as well as recording of these using TagBox.
- support the updating, improving, and publishing of internal resources on TagBox. Assist with video editing, language translations, and subtitles as needed.
- keep updated on internal training interventions, ensuring that content and recordings are uploaded by the facilitator onto TagBox.
- support the communication regarding virtual and in-person training.
- assist in the initiation and maintenance of the mentorship program.
- assist in live training mapping and training identified in employee evaluations to create and update individual training plans for all team members.
- assist in researching training opportunities and allocating a budget to training interventions.
- Attend HR and L&D team meetings.
- Drive the HR team to create, and assist with research for, a Human Resources curriculum for training offerings for this department (soft skills, etc).
- follow up on learning interventions completed per team, CO, and or sector.
- arrange Knowledge Sharing or exchange/lunch and learn events after external training interventions have occurred, for knowledge sharing within teams.
- Assist with sending surveys, post-training questionnaires, follow-ups, and other measuring tools for training attended.
- complete a summary report of completed projects detailing lessons learned and deliverables completed.
- record training interventions using an agreed-upon evaluation and recording platform/method and MEAL standards. Track all training and send a quarterly report to the organization.
- Publish in the Organisation Newsletter and L&D updates, news, or information as needed.
- Hold HR focal person meetings quarterly to receive information for records and discuss learning opportunities for the team and the L&D budget.
- Evaluations and data analysis - Analyse the information received through various channels (evaluations and feedback) in order to identify different trends in the organization
Externally -
- Liaise with potential and or external stakeholders of any L&D nature (video editors, platform holders, system providers, contractors, etc).
- Use and maintain different platforms to produce reports, and newsletters and edit and create videos (Canva, Vyond, BandiCut, Clideo, etc)
Onboarding and Orientation:
- Meet with managers of recruits to plan to onboard new HQ team members to organize orientation programs (first day, week, month, and quarter milestones)
- Coordinate with recruits on orientation and onboarding -oversee the planning of all introduction meetings and training
- Ensure all recruits have completed orientation training per TagBox
Requirements:
• Bachelor’s degree in human resources, Business Administration, or related field (or working towards).
• At least 3 years of experience supporting employees and managers.
• Proficient in MS Office.
• English – mother tongue level, strong communicator
