Description

The Evening Receptionist and Administrative Assistant reports to the Operations Manager and works with all constituents – students, parents, and staff - in the International School of Brooklyn community to support the school’s mission.  The general hours for this position are 10:30 am-6:30 pm (the hours might differ slightly during the summer break to accommodate the hours of our summer camp). This is an in-person position.

Key Responsibilities include:

  • Handle and screen telephone calls and walk-in inquiries.
  • Greet and sign-in visitors and provide name tags; contact appropriate staff members to announce guests; issue temporary badges for visitors at ISB.
  • Ensure a welcoming, professional, and clean office environment in the Reception area.
  • Assist the Daytime Receptionist with the afternoon school bus process.   
  • Serve as ISB administrative liaison for evening community events.
  • Maintain School Attendance on Veracross and follow up with families on student attendance.
  • Assists with mail drop off and packages at Reception.
  • Provides lunch coverage for the school nurse (rotating with the Morning Receptionist).    
  • Assist with early dismissal or early pick-ups.
  • Provide support around school day dismissal times and after school dismissal.
  • Call and notify parents when the bus is not available/late.
  • Update the Reception monitor with pictures and flyers of the upcoming event.
  • Ad hoc administrative support to other Departments as needed (Admissions, Communications, Advancement, Division Directors, Enrichment)

ENRICHMENT PROGRAMS    

  • Maintain after school staff attendance records (sign-out sheets)
  • Greet enrichment vendors and hand them daily after school rosters.  
  • Manage after school student pick-up based in the Reception area.
  • Provide support for the Enrichment Program Director as needed.    
  • Maintain the newsletter rosters on Veracross as directed by the Enrichment and Summer Program Director for each trimester.   
  • Helping manage after school when the After School Director is absent

SUMMER PROGRAM

  • Same responsibilities as during the school year
  • Hours might differ a bit depending on the Summer Program’s needs to expand the span of coverage to adapt to the Summer Program hours.
  • Other duties as assigned by the Summer Camp Director.

OTHER    

  • Must be available to work evening events as scheduled.   
  • Other duties as assigned by the Operations Manager as needed by the organization.
  • Support the school, its mission, and its leadership.
