SUMMARY

USA for UNHCR is seeking a highly motivated and experienced Senior Executive Coordinator to provide high-level administrative support to the Chief Development Officer (CDO) and general coordination within the Development division. The Senior Executive Coordinator will exercise initiative in managing the CDO’s time and the day-to-day functions of the Development Division effectively and efficiently, while collaborating closely with a diverse and talented team of professional leaders. The incumbent will maintain strict confidentiality regarding sensitive information, exercising discretion and professionalism in all communications and interactions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Provide comprehensive administrative support to the CDO, including calendar management, travel logistics, event support and team communication. Coordinate logistics and ensure the smooth execution of meetings, conferences, and special events.

• Assist the CDO with project initiatives by conducting research, preparing presentations, and contributing to project development.

• Manages the CDO’s calendar and activities to ensure high-value time utilization of the CDO in relationship to external and internal requirements, briefs/updates the CDO on upcoming meetings and ongoing obligations.

• Schedule, organize and coordinate internal and external meetings (in-person and virtual), travel arrangements, conferences, and other departmental activities.

• Serves as the Development division’s secretary in high-level strategic planning meetings and related activities.

• Performs duties such as financial record keeping, contract and procurement processing.

• Compiles, transcribes, and distributes minutes of meetings.

• Assists the CDO and Development leadership team in drafting correspondence, documents and reports; maintains records and updates various reporting tools.

• Supports the CDO in dealing with confidential or sensitive organizational matters.

• Collaborates with CDO to foster a success-oriented, positive, high integrity organizational culture.

QUALIFICATIONS

EDUCATION and/or EDUCATION

• At least 6-8 years’ experience in executive-level support to senior leaders; each year of work experience may be substituted for each year of education required.

• Bachelor’s degree preferred.

• Proficiency in Microsoft Office Suite, calendar management systems, virtual collaboration platforms and familiarity with Salesforce CRM desired

• Ability to work with minimal supervision.

• Demonstrates detail orientation and accuracy in all aspects of the job.

• Effectively communicates both verbally and in writing.

WORK LOCATION

Hybrid + New York, NY+ May also involve travel to some locations within the company’s region of operations and select donor locations.
