General Summary
Under supervision of the Associate Program Director, the Inspection Scheduler/Coordinator will be responsible for scheduling, coordinating, and managing inspections for the Family Rehousing Stabilization Program (FRSP) program. The incumbent will assist with client and landlord inspections management, and be responsible for scheduling inspections, documenting inspection information using a designated system, and ensuring inspections final report and supporting documentation are made available in a timely fashion.
Essential Duties and Responsibilities

• Maintain and update inspections schedules; confirm appointments with clients, landlords and other stakeholders and arrange pre-inspections, site visits, and post inspections.
• Send out reminders of scheduled appointments for inspectors and contractors; reschedule or cancel appointments in a timely manner. Manage and confirm inspector appointments, availability of appropriate paperwork, and arrangements.
• Keep team members, which include staff, inspectors, and contractors informed of project timelines and associated deadlines.
• Coordinate all communications related to inspection queries via email and phone. Document scheduling processes and records maintenance.
• Assist with records control and management as well as checking the quality of documents. Coordinate with vendors when documentation is missing to ensure the final inspection reports are complete and produced in a timely manner.
• Input document data into the designated system(s) ensuring that the information is accurate and up to date.
• Interact and work with clients, landlords and other stakeholders in a professional manner and demonstrates a high level of customer service in all interactions.
• Responsible for auditing all pre- and post-inspection files, paperwork from inspectors to ensure compliance with applicable all Federal, and Local regulations and guidelines pertaining to inspections.
• Utilize the specialized software as needed; ability to use Company Cam software and interpret photos of unit inspections and assess visually whether the issues and findings align with the items captured in the inspection report.
Qualifications
• High school diploma or GED required, but advance education or training a plus; supplemented by three to five years previous experience in office management, or administrative operations, or related field; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
• Ability to work under moderately stressful conditions, to respond immediately to crisis situations, and to balance priorities.
• Ability to maintain personal composure, tactfully handle difficult situations, and interpret questions correctly; ability to behave in a compassionate, helpful, and professional manner with clients, landlords and other stakeholders.
• Ability to maintain complete, organized, and accurate files for all assigned tasks and program areas, ensuring that the files are following requirements.
Salary $50,000 - $55,000 based on experience and credentials.

Working Conditions
While performing the duties of this job, the employee works regularly in an office setting. Occasionally, the incumbent might be required to work at on-site locations in varying weather conditions; and if home based work is available or required incumbent must be accessible during your normal work schedule to both clients, supervisors, and other team members.
Physical Requirements
While performing the duties of this job, the employee will frequently sit, stand, walk and reach. May need to lift files or packages periodically.
