The Solid Waste Association of North America (SWANA) is an organization of more than 10,000 public and private sector professionals committed to advancing from solid waste management to resource management through their shared emphasis on education, advocacy and research. For more than 60 years, SWANA has been the leading association in the solid waste management field. SWANA serves industry professionals through technical conferences, certifications, publications and a large offering of technical training courses. We are the largest member-based solid waste association in the world, with 47 Chapters in the U.S, Canada and the Caribbean.

Role Overview:

As the Executive Administrator for SWANA, you will provide support for the CEO and manage overall office and executive operations for our organization. The Executive Administrator manages projects and activities for the CEO and executive team, including general support of the CEO’s calendar, travel, and communications. This is a true utility role at SWANA and will be involved with all teams and levels of the organization and SWANA Board of Directors. This person is a confident, organized, professional individual who knows how to anticipate needs and keep the Executive office and overall operations running smoothly.

Responsibilities:

  • Manage projects from start to finish in support of CEO and executive team as needed.
  • Supports the work of the SWANA Board of Directors and its committees.
  • Provide support to the CEO, including scheduling of meetings, appointments, travel, and events.
  • Coordinate and organize meetings, which includes but is not limited to, drafting agendas, collecting materials, taking minutes and/or providing follow-up recap with key points and next steps/task assignments.
  • Create, edit, and format documents, presentations, and reports for CEO.
  • Conduct research, compile information, and provide summaries or analysis on various topics.
  • Compose and send out emails on behalf of CEO and escalate urgent or important messages as needed.
  • Help coordinate office operations, including office space and building management matters.
  • Support overall operations of SWANA, which may include HR, finance, IT, and vendor management.
  • Other administrative and operations duties as assigned. 

Qualifications:

  • Bachelor’s degree in related field.
  • At least 3 years in a prior administrative or office operations role, including in an executive support capacity.
  • Collaborative work style and ability to work across teams to get results.
  • Organizational skills and attention to detail.
  • High level of discretion and savvy in dealing with people inside and outside of the organization.
  • Problem solving skills and ability to analyze, anticipate, and work through roadblocks.
  • Excellent verbal and written communication skills.
  • Research, project management and analytical skills.
  • Proficient with MS Office suite and virtual meeting tools such as Teams and Zoom.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • This position will work in a hybrid capacity and must be based in the Washington D.C. area.

Annual Compensation Range: $60,000 - $80,000
