Description

The Assistant to the Executive Director reports to the Executive Director and is responsible to act as a confidential assistant to the Executive Director and manage the day-to-day administrative operations of the Executive Office. This position is for a highly self-motivated professional, capable of managing their work load and prioritizing tasks in a fast-paced labor union environment.


DESCRIPTION OF DUTIES:

Act as a confidential assistant to the Executive Director Provide comprehensive administrative services to the Executive Director Coordinate the provision of comprehensive administrative services to the Board of Directors Assist in making travel arrangements for board of directors according to association guidelines Process confidential communications for; the Board of Directors, the union’s legal counsel, staff and others as directed.

  • Maintain current knowledge of overall union office policies, procedures and practices affecting all programs, activities and staff.
  • Prepare strategic correspondence to staff, members and other labor organizations.
  • Perform other related responsibilities which may, from time to time, be required in advancing the interests of the association and the profession of nursing.
  • Handle any special projects assigned by the Executive Director
  • Coordinate and assist in the provision of typing, photocopying, and filing services for:  correspondence, minutes, memoranda, reports, notices, forms, records, bibliographies, speeches, position statements, and other documents.
  • Maintain approved filing system.
  • Assist in preparing for meetings of committees, councils and other groups as assigned; attend meetings of the Board of Directors and other units as assigned.
  • Attend meetings and write agenda, summaries and minutes for sessions of the various committees as directed.
  • Prepare draft correspondence for communications with the Board of Directors and various contacts.
  • Coordinate activities of, and maintain engagement calendar for, the Executive Director, along with staff that report to the Executive Director.  Schedule meetings and appointments and travel when necessary.
  • Manage and approve time sheets and expenses for staff that report to the Executive Director.
  • Submit monthly expenses on behalf of the Executive Director.


QUALIFICATIONS:

  • Excellent writing, analytical, computer and data skills required.
  • Advanced education and/or equivalent work experience is required.
  • Union experience preferred.
  • Ability to work with a team, take initiative and handle multiple projects under deadline. Experience in and knowledge of the health care profession, and in particular the nursing profession, is desirable.
