Description

Girl Scouts of Oregon and Southwest Washington currently has an opportunity for a talented, forward-thinking individual who shares our vision of helping Girl Scouts change the world for the better. We are seeking an Administrative Assistant for our Product Program team. As the Product Program Administrative Assistant, you’ll perform administrative/clerical tasks in support of the Product Program Department, provide a high-quality customer experience for both internal and external customers, and work closely with the Director of Product Program to prioritize workflow and projects. You’ll also provide Spanish language interpretation to customers and translate Product Program informational, training, and marketing materials.

 

What You’ll Do:

  • Provide high-quality customer service to both internal and external customers, including answering incoming inquiries, trouble-shoot, prioritizing, and responding appropriately to all inquiries.
  • English/Spanish translation and interpretation services.
  • Prepare correspondence, documents, and reports as needed.
  • Coordinate activities, including compiling information, handling mailings, and arranging meetings.
  • Attend and support product program events, including some evenings, weekends, and overnight stays.
  • Assist in creating and delivering written, virtual, and in-person training and training materials.
  • Assist the department in developing strategies and timelines, integrating best practices into council operations.
  • Administer the “cookie credit” program, including record keeping and receipting.
  • Manage the department storage room, including inventory tracking, moving resources, packing and unpacking for events, etc.
  • Pack and ship recognition gifts and supplies.

  • Bilingual English/Spanish.
  • Associate degree or equivalent experience.
  • Two (2) years of administrative support/clerical or customer service/support experience.
  • Computer proficiency at an intermediate level in Office 365, including Outlook, Word, and Excel, as well as in Google Docs and customer relationship management platforms, and ease in learning new applications.
  • Strong communication skills, including verbal and written.
  • Excellent customer service.
  • Accuracy and attention to detail when working with numbers, receipting, and record keeping.
  • Project management – excellent time management and prioritization skills.
  • Creative problem-solving.
  • Conflict management.
  • Data-driven with the ability to translate data into areas of action.
  • Public speaking and/or training in groups and one-on-one, including virtual and live settings.

  • Reliable transportation. The ability to drive with a license and insurance in good standing is preferred.

The Details

  • Compensation – Nonexempt/hourly, starting at $19.23-$24.04 per hour, depending on qualifications, plus $1.25 per hour for Spanish language skills at an intermediate level or better.
  • Benefits – Health, dental, and life insurance. We also provide a generous retirement plan, paid time off, and paid holidays. See more details on our website.
  • Hours – Full-time, 40 hours per week, general business hours, Monday through Friday. Occasional weekends and evenings for special events.
  • Location – Portland Metro Area, able to commute to the Portland Service Center as needed. This role requires occasional travel. Regular job duties can be performed remotely if you meet internet connectivity standards, at the Portland Service Center, or a hybrid setting based on your preference.
