Description

The Melrose Alliance Against Violence, Inc. (MAAV) is a community-based violence prevention agency founded in 1995. MAAV’s mission is to raise community awareness of domestic and teen dating violence and to promote programs that work to reduce violence and encourage healthy relationships. Our programs include community awareness activities, education and prevention programs in the schools, and information, support, resources, and referral services for victims, family members, and the community at large.

The part-time Administrative Assistant position provides an opportunity for a highly motivated individual to assist the Executive Director with administrative tasks associated with operating a small non-profit agency.

Responsibilities:

● Assist the Executive Director with general office functions, including the maintenance of a central filing system and resource library

● Copy and prepare materials for meetings and programs

● Order general office supplies; set up accounts for related purchases

● Manage financial record keeping for the organization, including:

o utilize QuickBooks Online for all bill payments and record-keeping;

o assisting the Bookeeper in reconciling bank statements;

o manage financial reporting for grants, including billing;

o maintain records and produce reports for special events.

● File necessary documents for newly hired employees

● Review and pay Worker's Compensation policy

● Prepare documents and assist with annual Financial Review, tax forms, and Annual

Report to the Commonwealth of Massachusetts

● Assist with maintenance of website and database

● Work with IT contractor on computer hardware/software issues

● Assisting the Executive Director with Managing the CRM System

● Assist with the Annual Walk Fundraiser including donor communications, attending and

taking notes at the walk committee meetings

● Other administrative duties as assigned by the Executive Director

● Non-office work – Assistance at community awareness events, making deposits to the

bank as needed


Requirements:

● Bachelor of Arts or Science Degree

● Minimum of two years of prior experience in an office setting

● Strong organizational skills and attention to detail

● Familiarity with fiscal accounting functions

● Ability to manage multiple and changing priorities

● Proficient with Microsoft Word and Excel

● Proficient with QuickBooks Online


Desired:

● Interest in/commitment to MAAV’s mission of preventing violence

● Experience with WordPress for updating website

● Experience working with CRM Systems such as Bloomerang and Kindful


Compensation:

$20-$22 per hour

10 hours per week

Flexible schedule

Office hours and site-based work in Melrose, MA

Start date mid-May 2024
