Job Description | Business Manager

WHO WE ARE: The West Side Community Land Trust (WSCLT), a 501(c) 3 non-profit organization, has a mission of creating permanently affordable housing with community-centered development in west Charlotte and beyond- ultimately producing staying power for low income residents in the face of rapid reinvestment and displacement. We were founded by area residents and as a membership organization, we are governed by an elected board with majority control given to those most proximate to the challenges we are combating.

PURPOSE OF ROLE: WSCLT is seeking a full-time Business Manager to join our team in Charlotte, North Carolina. The Business Manager will primarily be responsible for supporting the executive director and coordinating the organization’s operational processes while ensuring mission-aligned, efficient, and effective business continuity. The Business Manager will collaborate with leadership team members, manage volunteers, and complete other duties as assigned, and will report directly to the executive director.

PRIMARY RESPONSIBILITIES:

• Executive/Administrative Support – works closely with the executive director to coordinate all aspects of WSCLT operations; organizes, prepares, and drafts correspondence on behalf of the executive director; acts as a liaison between the executive director and staff to ensure effective communication between the leadership team, contract staff, and vendors; attends internal/external meetings and takes minutes; conducts research for special projects/events; coordinates all team meetings; assists with correspondence and meeting scheduling for the executive director, as needed.

• Office Management – ensures agency operations are carried on in an appropriate, cost-effective way; improve operational processes and best practices; manage vendors; oversee WSCLT mail operations, including opening/sorting mail, managing the WSCLT PO Box; establish/formalize SOP’s and support WSCLT with maintaining federal, state, and local legal compliance standards; perform initial systems set-up for new employees, independent contractors, interns, and volunteers; support the leadership team with enforcing WSCLT policies, procedures, and practices; answers the phone, connects callers with appropriate team member, and responds to voicemails timely; maintains filing system; format/distribute bi-weekly announcements/spotlight to the board; and manages the purchase of essential office supplies and inventory.

• Financial – works with WSCLT accountant to ensure maintenance and compliance with appropriate internal controls and financial processes, including but not limited to: credit cards, invoices, annual audit, 990 fee for service contracts, bank deposits, donor/member acknowledgement letters & packets, in-kind donation tracking, IRS forms etc. and reviews/recommends segregation of duties to maintain strong internal controls; oversees financial/operational risk management, including securing and updating insurance policies, financial manuals etc.; and maintains any finance related software (i.e. donor management CRM, QuickBooks etc.) for accuracy.

• Human Resources – manages HR, vendors/broker, including payroll vendor and benefits broker, open enrollment, personnel files, email lists and staff google accounts; manage the collection of bi-weekly time sheets, present them for approval, and process payroll upon approval; ensures employee handbook is up-to-date; conducts reference checks, background checks, employment verifications, and other HR-related tasks as delegated by the executive director; supports the executive director in analyzing program/operations workforce needs including current market rates for staff.

• Misc Support - Updates membership rosters, donor management software, and CRM platforms for tracking, compliance, and impact measurement; regularly updates internal/external engagement platforms, such as: organizational calendar, webpage, social media accounts, web portals, and web inquiry responses etc.; provides basic tech support and works with tech consultant to craft/implement cybersecurity policies, processes, and staff training to protect computer systems and networks from information disclosure, theft of, or damage to WSCLT hardware, software, or electronic data; supervise our team of community volunteers, ranging from new to seasoned volunteers; oversee the development of strategic volunteer engagement programming including the development of an intake form, regular updates to stakeholder database, and dispersing information about volunteer opportunities; support staff in designing a training curriculum for volunteers and board members to guide engagement in alignment with the WSCLT culture/brand.

QUALIFICATIONS

• The ideal candidate is a high-level performer with exceptional initiative; strong organizational skills; and the ability to successfully work autonomously in a fast-paced environment with people of diverse backgrounds

• Associate or Bachelor’s degree + 3 or more years of relevant work experience in a nonprofit environment

• Excellent interpersonal, verbal, and written communication skills

• Proven track record of managing multiple projects/priorities at a time

• Attention to detail, critical thinking, and ability to meet deadlines while producing high-quality results

• Ability to act with integrity, professionalism, and confidentiality.

• Digitally literate with high proficiency with Google Drive, MS Office Suite, Donor CRMs and other related software
