Description

As an Assistant Meeting Planner, you will work collaboratively with the Meetings & Travel Team to plan and execute meetings and events that support worker organizing at the direction of the International Union President and Secretary-Treasurer. You will join a dedicated and inspiring team of administrative professionals that proudly advances UNITE HERE’s goals on behalf of hospitality workers in the United States and Canada.

As a Meetings Team Assistant Planner, you will:

  • Field requests from UNITE HERE leadership for meetings and events.
  • Work with the Meetings & Travel team to create requests for proposals, review contracts, and ensure general best practices of meeting and event planning.
  • Assist with worker actions and other event logistics.
  • Draft communications about events and travel.
  • Oversee invoice processing for meeting and travel related expenditures, maintain a budget, and ensure fiscal responsibility, including actively monitoring and recommending opportunities for cost-savings.
  • Learn, comply with, and provide leadership on all internal UNITE HERE policies and external regulations.
  • Work with UNITE HERE Customer Organizing team to maintain network of customers and meeting planners through the Fair Hotel campaign (https://www.fairhotel.org/).
  • Travel occasionally.
  • Perform other duties as determined by Meetings Team Lead and UNITE HERE leadership.

Qualifications:

  • 2-3 years of experience in meetings, travel, and event planning
  • Proven proficiency in the following areas:Microsoft applications (managing spreadsheets, creating charts, and using advanced formulas)
  • C-vent and Egencia preferred
  • Excellent analytical skills to manage large amounts of data and reports
  • Team collaboration skills
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent verbal and written communication skills
